CLIENT: CIVIL ENGINEERING (CONSTRUCTION INDUSTRY)
JOB SUMMARY
Responsible for handling daily administrative operations including documentation, correspondence, office coordination, and facility maintenance to ensure smooth office operations.
KEY RESPONSIBILITIES
Administrative & Documentation
- File, organize, and maintain company documents and records.
- Update company documentation and internal records.
- Compile, maintain, and update contact directories of staff, workers, clients, suppliers, and consultants.
- Prepare and update company profile and related documents.
- Maintain chronology of events and correspondence for each project.
Communication & Correspondence
- Handle incoming mails, memorandums, faxes, and emails and redirect them to the relevant recipients.
- Screen incoming phone calls and redirect calls when necessary.
- Arrange courier services and manage outgoing documents.
- Greet and assist clients or visitors.
Office Administration
- Ensure proper upkeep and cleanliness of the office.
- Coordinate maintenance of office equipment such as fax machines, telephones, photocopiers, CCTV, air conditioning, lighting, plumbing systems, and auto gate systems.
- Manage office stationery including purchase requests, distribution, and record keeping.
Office Coordination
- Monitor the performance of cleaners and ensure the office remains clean and tidy.
- Monitor security guard performance and report issues if any.
- Assist management with administrative tasks and coordination.
General Duties
- Perform any ad hoc duties assigned by management.
- Report directly to the Admin Executive.
REQUIREMENTS
Education
- At least Diploma in Business Administration, Management, or related field.
Experience
- Minimum 1–3 years of administrative experience.
- Experience in office administration or clerical work is preferred.
Skills
- Good organizational and documentation skills.
- Strong communication and coordination ability.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and handle administrative duties efficiently.
Job Types: Full-time, Permanent, Fresh graduate
Pay: RM1,700.00 - RM2,500.00 per month
