Responsibilities
Department: Administration
Position: Admin Executive
Reports To: Finance Manager / Director / Managing Director
Location: Bukit Mertajam, Penang
Job Scope / Responsibilities:
Office Administration & Support
Manage day-to-day office operations to ensure a smooth and efficient working environment.
Maintain proper filing systems (both physical and digital) for documents, records, and correspondence.
Monitor office supplies and place orders when necessary.
Coordinate maintenance of office equipment and facilities.
Document & Data Management
Prepare and handle company documents such as letters, reports, meeting minutes, memos, and internal forms.
Ensure accurate and up-to-date data entry, records, and documentation.
Communication & Coordination
Handle incoming and outgoing phone calls, emails, and other communications.
Coordinate meetings, appointments, and schedules for team members or management.
Compliance & Confidentiality
Ensure all administrative activities comply with company policies and relevant regulations.
Handle confidential and sensitive information with professionalism and discretion.
Other Tasks
Support other departments with admin-related duties as required.
Take on additional responsibilities or ad-hoc tasks assigned by superior/management.
Requirements:
Degree/Diploma/Certificate in Business Administration or equivalent.
Minimum 1–2 years of administrative or office support experience.
Proficient in Microsoft Office (Word, Excel, Outlook).
Good communication skills and a positive, team-oriented attitude.
Able to work independently and manage multiple tasks efficiently.
