We are looking for a highly organized and proactive Administration Officer to support our architectural team in project coordination, documentation, and administrative tasks. The ideal candidate should have strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Project Coordination & Documentation
- Assist in project scheduling, tracking progress, and maintaining records.
- Prepare, organize, and manage project documents, drawings, contracts, and reports.
- Ensure timely submission of drawings, tenders, and approval documents to relevant authorities.
- Maintain and update project files, ensuring compliance with company standards.
- Liaise with consultants, contractors, and suppliers to facilitate project workflow.
Administrative Support
- Prepare meeting minutes, correspondences, and reports for project-related discussions.
- Assist in procurement, including managing quotations, purchase orders, and invoices.
- Monitor and track project expenses, claims, and payments.
- Coordinate site visits, inspections, and project-related travel arrangements.
- Handle general office administrative tasks related to project management.
Compliance & Communication
- Ensure compliance with local building regulations, company policies, and project requirements.
- Communicate and follow up on project matters with relevant stakeholders.
- Support the team in resolving administrative issues that may impact project timelines.
Requirements:
- Diploma/Degree in Business Administration, Project Management, Architecture, Quantity Surveyor, Data Analysis or any related field.
- 1–3 years of experience in project administration, construction, or architectural firms (fresh graduates with relevant skills may apply).
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication in English and Bahasa Malaysia.
- Ability to work independently and collaboratively with project teams.
