Duties and Responsibilities:
As an HR Administrator in our organization, you will provide administrative support to the HR department and assist in executing HR policies, procedures, and programs. You will be responsible for handling day-to-day HR tasks, maintaining HR records, assisting with recruitment processes, coordinating employee activities, and ensuring compliance with HR regulations and company policies.
HR Administration:
- Maintain and update employee records, including personal information, attendance, leaves, and other HR-related data using HRIS or other designated systems.
- Prepare HR documents, such as employment contracts, offer letters, and HR policies, ensuring accuracy and compliance with legal requirement
Recruitment Support:
- Assist in the recruitment and onboarding process by scheduling interviews, coordinating candidate communication, and conducting initial screenings.
- Post job advertisements on job boards, company websites, and social media platforms as directed by HR managers or recruiters.
Employee Relations:
- Serve as a point of contact for employee queries regarding HR policies, benefits, payroll/attendances, and other HR-related matters.
- Assist in resolving employee issues, conflicts, or grievances by gathering information, conducting initial investigations, and escalating to HR managers as needed.
Training and Development:
- Coordinate training sessions, workshops, and development programs by scheduling trainers, booking venues, and managing participant registrations.
- Maintain training records, track completion, and compile training evaluation feedback for reporting purposes.
Benefits Administration:
- Support benefits enrollment processes, including health insurance, retirement plans, and other employee benefits programs.
- Assist employees with benefits inquiries, enrollment changes, and documentation requirements in collaboration with HR managers and benefits providers.
HR Reporting and Compliance:
- Prepare regular HR reports on metrics such as headcount, turnover, recruitment status, training completion, and other HR-related data for management review.
- Ensure compliance with HR policies, procedures, and regulatory requirements by maintaining accurate records and documentation.
HR Projects and Initiatives:
- Assist in HR projects and initiatives, such as employee engagement surveys, performance management processes, and policy updates.
- Collaborate with HR team members to implement process improvements, streamline HR workflows, and enhance HR service delivery.
Education and/or Work Experience Requirements:
- Bachelor’s degree in Human Resources, Business Administration/Diploma, or a related field; HR certification
- Proven experience as an HR Administrator, HR Assistant, or in a similar administrative role, preferably in a corporate or office environment.
- Knowledge of HR functions, practices, and procedures, including recruitment, employee relations, benefits administration, and HRIS systems.
- Strong organizational skills with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with employees and external contacts.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and HR software systems (HRIS, ATS) for data management and reporting.
Preferred Skills:
- Familiarity with employment laws and regulations governing HR practices, such as wage and hour reference to Labor laws.
- Ability to handle confidential information with discretion and maintain a high level of confidentiality.
- Team player with a collaborative attitude, willing to assist colleagues and contribute to team goals.

Pay: RM2,400.00 - RM4,000.00 per month
