About Us:

Stolz is the sole distributor for Marley cooling towers in Singapore and Thailand. As our regional footprint expands across Singapore, Malaysia and Thailand, we are dedicated to building seamless operational links between our corporate functions and installation facilities. To support our growth, we are seeking a highly organised, proactive and versatile Operations & Admin Executive. Based at our Johor factory in Jalan Seelong, this pivotal role will spearhead general office administration, logistics and on-the-ground operational support.

Job Summary:

As the core operational anchor of our JB facility, you will bridge the gap between day-to-day office administration, logistics tracking, and local factory operations. This hybrid executive role requires a sharp, independent individual who can manage general office overheads, coordinate with local Malaysian authorities, handle freight/customs documentation, and report directly back to the Singapore headquarters.

Key Responsibilities:

1. Statutory Compliance & Factory Maintenance

  • Compliance & Renewals: Monitor, track, and submit crucial renewals for local JB regulatory authorities, including MPKU, JKKP, DOSH, and Bomba inspections.

  • Asset Maintenance: Schedule and track mandatory site maintenance for industrial assets, including Forklifts, Aircon servicing, Overhead Cranes, and general Factory Plant maintenance.

  • Safety Equipment: Ensure health and safety apparatuses, specifically Fire and First Aid equipment, are up to standard, calibrated, and renewed on time.

  • HR Support & Timesheets: Track factory workers' daily overtime, audit hours accurately against monthly timesheets, and coordinate directly with the Accounts department for prompt payment.

  • External Liaison: Manage waste disposal bin contracts and coordinate with local industrial neighbors to ensure clean, clear road conditions for large-scale Cooling Tower deliveries.

  • General Office Administraion & Facility Management: Oversee daily office operations, including facility upkeep, internet connectivity, and site cleanliness. Manage vendor contracts, coordinate mail and document control systems, and maintain optimal inventory levels for vital office and factory consumables.

2. Logistics & Customs Coordination

  • Freight Management: Source regional freight forwarders in Malaysia, compile quote comparisons, and track shipping dates and ex-works updates.

  • Customs Clearance: Directly manage freight inbound/outbound logistics, handling customs clearance procedures, K2 permits, FORM E applications, and tax rebate claims.

  • Cross-Border Logistics: Coordinate closely with our Singapore corporate team regarding delivery dates, and arrange transport logistics which include police and ICA approvals where necessary.

  • Financial Tracking: Work with the accounting team to verify and process GST/tax amounts for transporter cargo clearance.

3. On-Site Operations Support

  • Singapore Liaison: Serve as the on-site point of contact to ensure local worker installation practices match customer guidelines and regional layouts dictated by the Singapore team.

  • Quality & Inventory Check: Audit inbound components using Bill of Quantities (BQ) checklists, flag defective or missing items, and compile packing lists.

  • Asset Management: Oversee daily tool room sign-ins/outs to ensure correct tool usage and prevent asset damage or premature wear.

  • Facility Systems: Monitor bi-weekly pump room maintenance (including standby pump and battery test runs) to maximize equipment lifespan.

  • Reporting: Generate routine progress reports to provide the Singapore hub complete visibility over site checklist completions.

Requirements:

  • Education: Diploma or Degree in Business Administration, Logistics, Supply Chain, Engineering, or a related field.

  • Experience: Minimum 2–3 years of experience working in an office administration role, ideally within an industrial factory, engineering setup, or manufacturing environment.

  • Skills:

    • Prior exposure dealing with cross-border logistics (Singapore-Malaysia customs paperwork, K2 permits, and transport arrangements) is highly preferred.

    • Familiarity with Malaysian statutory bodies (DOSH, JKKP, Bomba) or local council (MPKU) documentation is an added advantage.

    • Strong proficiency in Microsoft Office suite (Word, Excel) for inventory tracking and reporting.

  • Attributes: Highly organized, strong problem-solving mindset, capable of multitasking between office work and factory floor coordination, and comfortable working with minimal direct local supervision.

  • Language: Fluency in written and spoken English is a must.

  • Computer Literacy: Proficiency in Microsoft 365 (Word, Excel, Powerpoint, Outlook, Teams) is required.
