DOCUMENT CONTROL ADMINISTRATOR
JOB PURPOSE : To ensure timely, accurate, efficient and effective administration support to the department and efficient implementation of the project documents management systems.
ACCOUNTABILITIES:
- To ensure effective implementation and enforcement of document management system within the organization and records management within the department at headquarters / project site office.
- To administrate project documentation management systems to ensure compliance to client and project requirements:
- Initiate project folder and authorization of access.
- Maintain project Master Document Register (MDR).
- Follow-up on project deliverables with Client and project team based on the planned date in MDR.
- Distribute controlled copy of documents in accordance to the Document Distribution Matrix.
- Administrate incoming and outgoing correspondences.
- Take minutes of meeting.
- Ensure efficient filing of documents and records (both soft copy and hardcopy) in accordance to the standard filing index in the project folder.
- Compile final documentation according to approved Table of Content (TOC).
- To update Project Experience List and allocate project number.
- To evaluate existing document management procedure to determine current effectiveness and efficiency.
- To handle the routine administrative tasks for the department.
- To assist in the preparation of organization documents for accurate and timely submission.
- To ensure compliance with company’s policies and procedures related to quality, integrity and HSE when carrying out any duty assigned.
- Any other reasonable assigned duties from time to time.
JOB SPECIFICATION:
Qualification
- Diploma / Degree in related discipline
- At least three (3) years’ experience as document control clerk, or eight (8) years in the administration field
Knowledge
- Proficient in MS office application, i.e., MS Word, MS Excel, MS PowerPoint
- Proficient in file storage optimisation, i.e., SkyDrive, FTP
- Excellent filing skills
Skills
- Good English and Bahasa Malaysia (both oral and written)
- Detail Oriented
- Sounds Interpersonal skills
- Good initiative
- Able to work independently
Pay: RM2,100.00 - RM3,300.00 per month
