Job Description

Responsibilities

Job Summary

To provide administrative and clerical support to the workshop and service department by managing service records, work orders, documentation, customer communications, and coordination with technicians to ensure smooth daily operations.

Duties & Responsibilities Administrative Support

  • Prepare and maintain workshop-related documents, reports, and records.
  • Handle filing and documentation of service reports, job sheets, and inspection records.
  • Maintain accurate records of machinery service history and maintenance schedules.
  • Assist in data entry and updating information in the company system.

Workshop Coordination

  • Prepare and issue Job Sheets, Work Orders, and Service Reports.
  • Coordinate with technicians regarding job status and completion updates.
  • Monitor and update service schedules and appointments.
  • Ensure all service documents are properly completed and submitted.

Customer & Vendor Support

  • Attend to customer enquiries via phone, email, or walk-in.
  • Follow up with customers regarding service appointments and job completion.
  • Coordinate with suppliers and vendors for spare parts and service requirements.

Inventory & Parts Administration

  • Assist in monitoring spare parts inventory and stock records.
  • Prepare purchase requisitions and follow up on parts orders.
  • Maintain records of parts issuance and usage.

Reporting

  • Prepare weekly and monthly service reports.
  • Track workshop performance data and maintenance records.
  • Assist management with administrative reports as required.

Job Requirements

  • Minimum SPM, Diploma in Business Administration, Office Management, or related field.
  • Minimum 1 year of administrative experience (workshop or service industry experience is an advantage).
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Good communication and organizational skills.
  • Able to work independently and multitask in a fast-paced environment.
  • Knowledge of workshop operations or heavy machinery service is an added advantage.

Preferred Skills

  • Experience handling Job Sheets and Service Reports.
  • Familiarity with ERP, CRM, or workshop management systems.
  • Good record-keeping and document management skills.
  • Strong attention to detail and accuracy.

Pay: RM2,000.00 - RM3,000.00 per month

Work Location: In person
