Responsibilities

Key Responsibilities

  • Conduct onboarding and refresher training sessions for employees and managers on payroll policies, procedures, and timekeeping systems.
  • Prepare and deliver payroll-related reports and ad hoc analysis to support HR, Finance, and business operational requirements.
  • Provide support for payroll improvement initiatives, projects, and other assigned HR operations activities.
  • Act as the primary coordinator for the Payroll ServiceNow ticketing system, ensuring timely tracking, follow-up, and resolution of payroll and timekeeping inquiries.
  • Provide professional and timely customer service to employees and managers regarding payroll-related questions, policies, and processes.
  • Maintain accurate payroll documentation and perform other payroll administration duties as required.

Functional / Business Knowledge

  • Apply fundamental payroll knowledge to investigate and resolve payroll-related issues in accordance with company policies and procedures.
  • Collaborate with employees, managers, HR, and Finance teams to ensure proper understanding and utilization of payroll processes and ticketing systems.
  • Demonstrate the ability to interpret and apply payroll and HR concepts in daily operations.
  • Ensure timely completion of assigned tasks while maintaining effective communication and follow-up on outstanding items.
  • Identify opportunities for process improvement and contribute to enhancing payroll operations, service delivery, and team practices.

Scope of Role

  • Perform payroll and timekeeping activities under general supervision, following established guidelines and procedures.
  • Handle moderately complex payroll inquiries requiring analytical thinking, problem-solving skills, and attention to detail.
  • Utilize available systems, resources, and knowledge to investigate issues and recommend appropriate solutions.
  • Build and maintain strong working relationships with employees, managers, HR, Finance, and external stakeholders.
  • Support preparation, maintenance, and submission of payroll-related documentation and reports.

Decision Making & Judgment

  • Exercise sound judgment when resolving routine payroll and timekeeping issues within established policies and guidelines.
  • Work independently on assigned responsibilities while seeking guidance for complex matters or new processes.
  • Prioritize tasks effectively to meet operational deadlines and service expectations.

Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related field.
  • Open to fresh graduates or candidates with up to 3 years of relevant experience in payroll, HR operations, or shared services environment.
  • Proficient in Microsoft Office applications, especially Excel, Outlook, and Word.
  • Strong attention to detail, analytical skills, and ability to handle confidential information.
  • Basic project coordination or process improvement experience is an added advantage.
  • Experience with HR systems, payroll systems, ServiceNow, Workday, SAP, or similar platforms is preferred.

Pay: RM3,000.00 - RM4,000.00 per month

Work Location: In person
