Key Responsibilities:
Document Management & Control
- Manage the complete document lifecycle, including document creation, review, approval, revision control, distribution, and archival.
- Maintain accurate document registers, revision history, and document status tracking.
- Ensure all documents are properly formatted, indexed, stored, and accessible through document management systems.
- Perform document quality checks to ensure completeness, accuracy, and compliance with internal requirements.
- Control confidential and sensitive project documentation.
Engineering & Project Documentation Support
- Coordinate engineering documentation such as drawings, specifications, procedures, work instructions, change notices, and technical reports.
- Support Engineering Change Management (ECN/ECR) processes by tracking document updates and approvals.
- Manage project deliverables and ensure timely submission of required documentation.
- Prepare document transmittals and coordinate document circulation among internal and external stakeholders.
System & Database Management
- Maintain documentation using electronic document management systems (EDMS) such as:
- Aconex
- SharePoint
- Documentum
- Teamcenter / PLM systems
- Other company-specific document management platforms
- Ensure data accuracy and integrity within document control systems.
- Generate document status reports and provide updates to project stakeholders.
Compliance & Audit Support
- Ensure documentation complies with company procedures, ISO standards, and customer requirements.
- Support internal and external audits by preparing required records and documentation evidence.
- Conduct periodic document reviews and housekeeping activities.
- Maintain proper document retention and archival processes.
Cross-functional Collaboration
- Work closely with Engineering, Quality, Manufacturing, Procurement, Project Management, and Operations teams.
- Coordinate with global teams to ensure consistent document control practices.
- Follow up with stakeholders on pending approvals and document submissions.
Requirements:
- Diploma / Degree in Business Administration, Engineering, Information Management, or related disciplines.
- 2–5 years of experience in document control, project administration, engineering administration, or similar roles.
- Experience working in an MNC, semiconductor, manufacturing, engineering, or high-tech industry is preferred.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience with document management systems such as Aconex, SharePoint, SAP, PLM, or ERP systems is an advantage.
- Knowledge of ISO documentation practices and change control processes preferred.
