Job Responsibilities:
Site & Office Administration
- Manage day-to-day site and office administrative activities to ensure smooth operations.
- Serve as the primary contact for site administration matters and resolve issues independently where possible.
- Coordinate and manage office vendors and service providers, including facilities, cleaning, maintenance, and office supplies.
- Maintain accurate physical and digital records, documentation, and filing systems.
- Support site leadership with meeting coordination, logistics, documentation, and administrative follow-ups.
HR Coordination & Statutory Compliance
- Coordinate onsite HR administrative activities related to statutory requirements and employment compliance.
- Ensure timely and accurate preparation, submission, registration, and maintenance of statutory documentation.
- Liaise with relevant government agencies and external parties on HR and statutory matters.
- Maintain accurate employee and statutory records for audit and compliance purposes.
- Support HR audits, inspections, and compliance reviews when required.
Payroll & Employee Data Management
- Support statutory filing and payroll-related administrative activities.
- Coordinate with the Payroll Specialist to address routine payroll and employee-related enquiries.
- Maintain accurate employee information and ensure timely updates to relevant HR records and systems.
- Assist in resolving employee payroll and administrative issues.
Coordination & Continuous Improvement
- Work independently with minimal supervision and exercise sound judgment when handling administrative and HR matters.
- Coordinate effectively with internal departments, site leadership, employees, vendors, and external agencies.
- Identify opportunities to improve administrative processes, standardize workflows, and enhance overall site efficiency and employee experience.
Requirements
- Diploma or Degree in Human Resources, Business Administration, Management, or a related discipline.
- Minimum 3 years of relevant experience in HR administration, site administration, office administration, or a similar role.
- Experience in HR statutory compliance, government submissions, and payroll coordination is highly preferred.
- Experience liaising with government agencies and external service providers will be an advantage.
- Strong organizational, coordination, and problem-solving skills.
- Able to work independently with minimal supervision and demonstrate a high level of accountability.
- Strong written and verbal communication skills with the ability to communicate confidently with employees, management, and external stakeholders.
- High level of professionalism, confidentiality, and discretion when handling sensitive information.
- Proficient in Microsoft Office, particularly Excel and Word.
- Experience in an MNC, manufacturing, semiconductor, or industrial environment will be an added advantage.
Pay: RM2,500.00 - RM3,000.00 per month
