Job Summary
Provide administrative and operational support to the Facility team by managing documentation, work orders, procurement, equipment records, statutory compliance, inventory, and vendor activities.
Key Responsibilities
- Documentation & Filing: Maintain physical and electronic filing systems, document registers, reports, training logs, activity calendars, and meeting minutes.
- Work Order Administration: Update work order records, track outstanding actions, and follow up with requestors through to closure and reporting.
- Procurement & Vendor Coordination: Prepare PRQs/RFQs, track POs and delivery statuses with Purchasing/vendors, manage vendor administrative needs, collect completion reports, and follow up on pending quotations.
- Equipment & Asset Management: Update the Facility Equipment Register, track service histories, support preventive and breakdown maintenance records, and assist with asset tagging.
- Statutory Compliance & Audits: Monitor the validity of statutory and calibration certificates, keeping records fully prepared for internal and external audits.
- Inventory Control: Track spare parts stock movements, handle new assets, and assist with regular stock count activities.
- Reporting & General Support: Track procurement performance, generate departmental reports, and provide daily administrative support to technical personnel and site operations.
Requirements & Qualifications
- Education: Minimum SPM or equivalent; Diploma in Business Administration, Facility Management, or a related field is an added advantage.
- Experience:
- 1 to 2 years of administrative/clerical experience in a manufacturing or industrial environment.
- Experience supporting facility or maintenance operations is highly desirable.
- Technical & Operational Knowledge:
- Basic knowledge of purchasing, work order administration, inventory control, and document management processes.
- Proficient in Microsoft Office applications (Excel, Word, Outlook).
- Key Skills & Competencies:
- Strong organizational skills, high attention to detail, and accuracy.
- Excellent communication skills to coordinate across internal departments, external service vendors, and contractors.
- Ability to multitask effectively in a fast-paced environment.
Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM3,000.00 per month
