This role is to support the efficient and effective operation of the Group's clinics by coordinating daily operational activities, ensuring compliance with company policies and regulatory requirements, and driving operational excellence across all branches. The Operations Executive will work closely with clinic teams and support departments to improve service delivery, operational efficiency, and patient satisfaction.
Key Responsibilities:
- Coordinate and oversee the daily operations of assigned clinics to ensure efficient
workflow, quality patient care, and smooth clinical service delivery.
- Ensure compliance with Ministry of Health (MOH) regulations, Private Healthcare
Facilities and Services Act (PHFSA), company policies, and Standard Operating
Procedures (SOPs).
- Conduct regular clinic operational audits and implement corrective actions to
maintain compliance and operational excellence.
- Monitor clinic performance, patient flow, service quality, and operational efficiency,
and recommend continuous improvement initiatives.
- Support the renewal and maintenance of clinic operating licences, Annual Practising
Certificates (APCs), and other regulatory requirements.
- Ensure all clinical documentation, patient records, incident reports, and operational
reports are accurate, complete, and submitted within the required timelines.
- Coordinate with Medical Officers, Dentists, Clinic Managers, and healthcare
professionals to resolve operational issues and ensure seamless clinic operations.
- Investigate patient complaints, service issues, and clinical incidents, and recommend
appropriate corrective and preventive actions.
- Ensure compliance with infection prevention and control measures, workplace safety
standards, and clinical quality assurance programmes.
- Monitor the availability of medical supplies, consumables, medications, and
equipment to ensure uninterrupted clinical operations.
- Coordinate the maintenance and servicing of medical equipment and clinic facilities.
- Support the implementation of new clinical services, operational projects, digital
healthcare systems, and process improvement initiatives.
- Conduct operational orientation and SOP training for clinic staff and monitor
adherence to established procedures and service standards.
- Prepare weekly and monthly operational, compliance, and performance reports for
Management.
- Analyse operational data and recommend strategies to improve clinic performance,
patient satisfaction, and service quality.
- Perform any other duties assigned by Management from time to time.
Requirements:
- Diploma or Bachelor's Degree in Healthcare Management, Allied Health Sciences, Business Administration, or a related field.
- Minimum 2–3 years of experience in healthcare or clinical operations, preferably within medical clinics, hospitals, or healthcare groups.
- Good knowledge of Ministry of Health (MOH) regulations, Private Healthcare Facilities and Services Act (PHFSA), and healthcare compliance requirements.
- Strong understanding of clinic operations, clinical governance, quality assurance, and patient safety practices.
- Excellent organizational, analytical, problem-solving, and decision-making skills.
- Strong interpersonal and communication skills with the ability to collaborate effectively with multidisciplinary healthcare teams.
- Ability to manage multiple priorities, work independently, and perform effectively in a fast-paced environment.
- Proficient in Microsoft Office applications and healthcare management systems.
- Willing to travel between clinic branches when required.
- Possess a valid driving licence and own transportation.
Pay: RM4,000.00 - RM5,000.00 per month
