Location: Iskandar Puteri, Johor, Malaysia
Work Arrangement: Office-based — required to report to the Iskandar Puteri office every working day unless travelling for work or otherwise instructed
Travel Requirement: Approximately 1 week per month to Brunei, subject to project requirements

About the Role

We are looking for a highly organised, dependable and articulate Consulting & Client Coordination Executive to support our Principal Consultant in managing client engagements, meetings, workshops and consulting projects.

This is a hands-on, office-based contract role suited to someone who is comfortable working directly with senior consultants and client representatives, can communicate professionally in English, and is able to turn discussions and rough information into clear, well-presented outputs.

The successful candidate will be required to report to our office in Iskandar Puteri every working day, except when travelling for client engagements, workshops or other authorised work assignments.

Candidates based in Iskandar Puteri, Nusajaya, Medini, Bukit Indah, Johor Bahru or surrounding areas are preferred due to the daily office requirement.

The role also requires regular travel, particularly to Brunei. Travel may typically involve approximately one week per month, depending on project requirements.

This is a contract position. No additional benefits will be provided. Continued engagement or any review of the arrangement after six months will be subject to performance.

Key Responsibilities

Consulting & Executive Support

- Provide day-to-day project and administrative support to the Principal Consultant.
- Attend client meetings together with the Principal Consultant where required.
- Take accurate and comprehensive meeting minutes.
- Convert meeting discussions, voice notes, handwritten notes and working notes into clear summaries, action items and follow-up documentation.
- Track agreed actions, deadlines and responsibilities following meetings.
- Assist the Principal Consultant in organising information and preparing materials for client engagements.
- Support the Principal Consultant with day-to-day coordination and project follow-through.

Client Coordination

- Coordinate meetings between the Principal Consultant, client representatives and other stakeholders.
- Liaise professionally with client Points of Contact (POCs).
- Follow up with clients on outstanding information, documents, meeting actions and agreed deliverables.
- Assist with scheduling, confirmations and meeting logistics.
- Maintain professional and timely communication with clients throughout an engagement.
- Ensure that important client requests and follow-up items are brought to the Principal Consultant's attention.
- Maintain appropriate records of client correspondence, decisions and next steps.

Presentation & Document Preparation

- Assist in putting together and refining PowerPoint presentations using content and direction provided by the consulting team.
- Organise information into logical, clear and professional presentation slides.
- Prepare meeting notes, summaries, reports and supporting documents.
- Draft professional client emails and correspondence for review where required.
- Proofread materials for grammar, clarity, formatting and consistency.
- Maintain organised project files, meeting records and working documents.
- Assist in consolidating information from different sources into client-ready documents and presentations.

Workshop & Project Support

- Travel with the Principal Consultant to Brunei and other project locations when required.
- Assist with workshop preparation and on-site setup.
- Coordinate with the client's POC regarding venue arrangements, participant requirements, materials, equipment and other workshop logistics.
- Ensure presentation materials, participant materials and required documentation are ready before workshops.
- Support participant registration, attendance documentation and general workshop administration where required.
- Assist the Principal Consultant during workshops so that logistical and client-related matters are handled smoothly.
- Liaise with the client during on-site engagements to address operational requirements.
- Follow up on post-workshop actions and documentation.

Requirements

- Must be able to report to the office in Iskandar Puteri every working day, unless travelling for company business or otherwise instructed.
- Preferably based in Iskandar Puteri, Nusajaya, Medini, Bukit Indah, Johor Bahru or surrounding areas.
- Willing and able to travel internationally, particularly to Brunei for approximately one week per month, when instructed and based on project requirements.
- Strong command of written and spoken English.
- Candidates should preferably be able to demonstrate their English writing ability through previous work, correspondence, reports, presentations or a short writing assessment.
- Strong organisational and follow-up skills.
- Able to take detailed notes and convert discussions into concise, structured meeting minutes.
- Comfortable communicating directly with clients and senior stakeholders.
- Good working knowledge of Microsoft PowerPoint, Word and Outlook or equivalent productivity tools.
- Able to prepare professional-looking PowerPoint slides from notes, existing materials and consultant instructions.
- Comfortable working independently and managing multiple tasks and deadlines.
- Strong attention to detail.
- Professional, responsive and reliable.
- Able to maintain confidentiality when handling client and consulting information.
- Comfortable working in a fast-moving consulting environment where priorities may change depending on client requirements.

Preferred Background

Candidates with experience in one or more of the following areas would be advantageous:

A university degree is useful, but practical ability, professionalism, communication skills and reliability will be given significant consideration.

- Is comfortable dealing with senior clients professionally.
- Can take rough information and turn it into something organised and presentable.
- Writes clear and professional English.
- Is comfortable reporting to the office in Iskandar Puteri on a daily basis.
- Is comfortable with frequent travel.
- Remains calm and organised when meetings, workshops or project requirements change.
- Understands that supporting consulting engagements requires discretion, flexibility and attention to detail.
- Is willing to support both office-based coordination and on-site client delivery.

Work Location

This is an office-based position in Iskandar Puteri, Johor.

The successful candidate is expected to report physically to the office every working day during normal working periods. This is not intended to be a remote or work-from-home position.

Exceptions will apply when the employee is travelling for client work, attending meetings, supporting workshops or undertaking other authorised company assignments.

Travel

Regular travel is an important part of this position.

The successful candidate must be prepared to travel to Brunei for approximately one week per month, or as instructed based on client and project requirements, to accompany and support the Principal Consultant.

During these visits, responsibilities may include client coordination, meeting documentation, workshop logistics, presentation preparation and on-site support.

Candidates should therefore be comfortable with regular international travel and the flexibility required by consulting project schedules.
