Role Description

HR Operations & Administration

  • Support the HR Manager in overseeing the day-to-day HR operations and ensuring smooth execution of HR processes across the business.
  • Manage and maintain accurate employee records, HR databases, contracts and employment documentation.
  • Oversee employee confirmations, contract renewals, probation reviews and other employment-related matters.
  • Handle employee queries and provide timely support on HR policies, procedures and employment matters.
  • Ensure proper documentation and confidentiality of employee information.

Recruitment & Workforce Planning

  • Support end-to-end recruitment activities, including workforce planning, job postings, candidate screening, interview coordination, reference checks and offer administration.
  • Work closely with hiring managers to understand manpower requirements and support timely hiring.
  • Support recruitment reporting and identify opportunities to improve hiring processes.

Payroll, Leave & Benefits

  • Review and prepare monthly payroll inputs, including attendance, overtime, leave, incentives and employee changes, in coordination with Finance or external payroll providers.
  • Oversee the administration of leave, medical claims and employee benefits.
  • Ensure payroll and HR-related records are accurate and submitted within the required timelines.

Employee Relations & Engagement

  • Support the HR Manager in handling employee relations matters and addressing workplace concerns appropriately.
  • Coordinate employee engagement initiatives, team activities and wellness programmes.
  • Support performance review processes, employee development and retention initiatives.
  • Promote a positive workplace culture and reinforce company values.

Compliance & HR Development

  • Support compliance with Malaysia employment regulations, statutory requirements and company policies.
  • Maintain HR documentation required for audits, government submissions and internal compliance.
  • Assist in reviewing and improving HR policies, SOPs and internal processes.
  • Support HR reporting, people analytics and other HR projects.
  • Identify opportunities to improve HR processes, systems and overall administrative efficiency.
  • Take on other HR-related duties and projects as assigned by the HR Manager or Management.

Qualifications

  • Strong HR operations skills, including experience in recruitment, onboarding, and maintaining employee records.
  • Knowledge of HR policies, procedures, and employment regulations relevant to Malaysia.
  • Ability to manage performance review processes and support training and development programs.
  • Proficiency in handling employee relations issues with tact, confidentiality, and fairness.
  • Solid organizational and time management skills, with the ability to prioritize multiple tasks.
  • Effective written and verbal communication skills, with the ability to interact with team members at all levels.
  • Comfort with HR systems and standard office software (e.g., HRIS platforms, spreadsheets, documentation tools).
  • Demonstrated ability to work collaboratively in a fast-paced, customer-focused retail F&B environment.
  • At least 5 years of experience in human resources, preferably in retail, hospitality, or F&B settings.
  • Diploma or degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
