  • Job description Requirements: 1) Possess at least Degree in Quality Management/Statistics or equivalent. 2) Familiar with ISO 9001:2018 Quality Management System (QMS), MS ISO/IEC 17020:2012 Inspection Certification and ISO 45001:2018 Occupational Health and Safety Management System Certification. 3) Minimum 2-3 years relevant experience in a similar role in Document control and record management. 4) Possess good knowledge in document control and management processes and standards and ISO standards. 5) Pleasant personality, with good written and verbal communication and interpersonal skills 6) Able to work independently with minimum supervision and able to work under pressure. 7) Ability to identify, map and manage processes 8) Excellent communication skills, both written and verbal 9) Ability to work under pressure and meet timescales 10) Manage resources where applicable 11) Practical and Logical approach 12) Systematic and able to work under pressure 13) Meticulous and able to follow through with tasks promptly 14) Able to work independently as well as in a team 15) Proficient in MS Office applications (Excel, Words and PowerPoint) is a must and knowledge in using document control software is advantageous Responsibilities: 1) Manage organization's QMS that conforms to customer, internal, ISO 9001 and regulatory/ legal requirements. 2) Conduct periodic management review meetings and prepare the Monthly Management Meeting minutes and ISO Management Review Meeting minutes. 3) Preparation & arrangement for ISO Internal and External Audits and work with auditors to maintain ISO status. 4) Manage organizational documentation through the document life cycle. 5) Maintain organizational documents and the document management system. 6) Ensure that all documents/procedures are up to date or develop by keep up on standards, regulations/ laws, issues and news with respect to product (service) quality. 7) Communicate and collaborate with head of departments to identify and investigate the need for documents of various types. 8) Ensure that organizational documents go through a documented and approved review and approval process before being stored. 9) Analyzes and controls all documentation related to business activities within contractual requirements and Company procedure (including confidentiality). 10) Participates in the development, maintenance and improvement of departmental and sustainability document control work processes. 11) Handles and registers all out-going and incoming transmittal according to sustainability document control procedure. 12) Ensure the security, accessibility and proper distribution of organizational documents and conduct company audits to ensure documents are being followed. 13) Plan and conduct meetings and presentations related to document management. 14) Able to create document fixed formats for templates. 15) Maintain updated records of all approved documents and their distribution clearly. 16) Work with all departments to put and place a Management of Records system to compliment the Document Management system and meet the Project team requirement. 17) Controlling the forms used to record data onto records and ensuring the records stay controlled as they are used, stored and preserved 18) Shall be responsible for all duties necessary to create, edit, review, upload, copy, scan etc, to ensure Document Management is functional and successful. 19) Manage the coordination and hand back documentation to the client/user. 20) Represent the Company document management working groups. 21) Report to top management on the performance of the QMS, including the need for improvement. 22) Create systems to manage company documents. 23) Train employees on how to use and access the documents 24) Follow company procedures. 25) Undertake any other ad hoc projects/duties assigned by the HOD/Management
