Key Responsibilities Human Resources • Assist the Human Resources & Office Admin Manager in managing daily HR operations • Support recruitment activities including candidate coordination, interview arrangements, employment documentation, and onboarding preparation. • Coordinate monthly payroll processing and ensure accuracy of salary information, employee claims, attendance records, and statutory contributions (EPF, SOCSO, EIS, PCB, EA reporting). • Maintain accurate and confidential employee records, HR documentation, and HR reporting. • Support employee confirmation, performance review, training coordination, and employee engagement initiatives. • Provide HR support to employees and managers on HR policies, procedures, and employment-related matters. • Assist in handling employee relations matters and escalate complex issues to the Human Resources & Office Admin Manager. Office Administration • Support the Human Resources & Office Admin Manager in managing daily office administrative activities. • Coordinate office maintenance, facilities management, office supplies, courier services, and vendor services. • Monitor office facilities and workplace conditions to ensure a safe and productive working environment. Finance Administration • Support finance administration activities including Accounts Payable, Accounts Receivable, petty cash, and expense monitoring. Government & Compliance Liaison • Support liaison activities with relevant government agencies and statutory bodies, including JTK, DBKL, KWSP, Perkeso, LHDN, and other relevant authorities. • Assist in statutory submissions, licence renewals, inspections, audits, and regulatory documentation. • Ensure HR and Office Admin administrative practices comply with applicable Malaysian employment laws and company policies. Team Leadership & Process Improvement • Identify opportunities to improve HR and administrative processes, documentation, and SOPs. • Act as the supporting person to the Human Resources & Office Administration Manager and assume delegated responsibilities during the Manager's absence. Qualifications & Requirements • Bachelor's Degree in Human Resource Management, Business Administration, Accounting, Finance, or related discipline. • Minimum 1 year of relevant experience in Human Resources and Office Administration. • Experience in payroll administration and Malaysian statutory compliance. • Experience in handling government liaison matters is preferred. • Good knowledge of Malaysian Employment Act, HR practices, payroll processes, and office administration. • Proficient in Microsoft Office applications and HR systems. • Strong communication, organisation, problem-solving, and analytical skills. • Proactive, detail-oriented, and able to manage multiple priorities effectively.
