Administrative Support : Provide general administrative support to the office, including answering phones, responding to emails, and handling correspondence. Data Entry and Record Keeping : Perform data entry tasks to update and maintain electronic and physical records, ensuring accuracy and confidentiality of information. Filing and Organization : Organize and maintain office filing systems, both electronic and paper-based, to ensure easy retrieval of documents and information as needed.
Scheduling and Coordination : Assist with scheduling appointments, meetings, and conference calls, coordinating calendars and sending out meeting invitations or reminders. Office Supply Management : Monitor office supply levels and place orders for replenishment as needed, ensuring that essential supplies are always available for office operations. Assistance with Projects : Provide assistance to colleagues or managers on various projects or tasks, such as preparing reports, compiling data, or conducting research.
Customer Service : Greet visitors and provide assistance as needed, directing them to the appropriate person or department and ensuring a positive experience for all visitors to the office.
BUSINESS SUPPORT ASSISTANT MANAGER - JOB DESCRIPTION (KL)
To review oil collection data from branches and ensure data accuracy.
To monitor administration and operations departments of the branches.
To monitor branches’ existing and incoming vehicles, including grant, drivers license and necessary details.
To check the availability of vehicles for logistics arrangements upon request, if any.
To ensure data accuracy on waste collection schedules from all the branches.
Forecast monthly budget for operational expenditures and liaise with finance department.
To monitor and follow through on overdue items on a monthly basis e.g. Rental, Licenses, Insurances etc and ensure each is within and monthly report and summary.
Ensure the cash flow is healthy.
Coordinate and participate in meetings, taking notes, and following up on action items.
To provide reminder to branches admin team on payment and billing updates.
Compile stock take of waste and oil submission for management approval.
Main liaison on vehicles maintenance and upkeep.
Undertake any other ad-hoc tasks that may be assigned by superior from time to time.
