Kelayakan

  • Minimum of a SPM, diploma or equivalent. Additional education or relevant courses in administration is a plus.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Good communication and interpersonal skills.
  • Knowledge of administrative procedures and office equipment.
  • Familiarity with the paint industry or related industries is a plus but not always required.

Tanggungjawab

  1. Data Entry: Accurately input and manage data related to inventory, sales, and other administrative processes using computer software and databases.
  2. Document Management: Organize and maintain physical and electronic files, records, and documents, ensuring they are easily accessible when needed.
  3. Customer Support: Assist customers and clients with inquiries, orders, and product information, providing excellent customer service via phone, email, or in-person interactions.
  4. Inventory Control: Monitor and track inventory levels, assist with stock ordering, and collaborate with the warehouse team to ensure adequate stock levels of paint products.
  5. Sales Support: Assist the sales team with order processing, invoicing, and maintaining customer databases. Prepare and send out sales quotations and invoices as needed.
  6. Office Maintenance: Ensure the office is well-organized, clean, and stocked with necessary supplies. Report and coordinate repairs or maintenance when necessary.
  7. Communication: Handle incoming and outgoing correspondence, including emails, letters, and phone calls. Communicate effectively with internal and external stakeholders.
  8. Record Keeping: Maintain accurate records of financial transactions, expenses, and receipts. Assist in preparing financial reports and reconciling accounts.
  9. Compliance: Ensure that the company complies with all relevant administrative and legal regulations, such as taxation, licenses, and permits.
  10. Support Management: Assist managers and other team members as needed, including scheduling appointments, arranging meetings, and preparing reports.
  11. Problem Solving: Address and resolve administrative issues and challenges promptly, seeking guidance from superiors when necessary.
