1. Financial & Payroll Operations
- Manage monthly payroll processing, ensuring accuracy, timeliness, and compliance with statutory contributions (EPF, SOCSO, EIS, and PCB).
- Monitor daily and weekly cash flow, highlighting risks or shortfalls.
- Track revenue, expenses, and profitability across multiple outlets.
- Support bank reconciliations and payment processing.
2. People & Culture (HR Administration)
- Recruitment & Staffing: Support the recruitment lifecycle, including posting job openings, screening resumes, and coordinating interviews for outlet staff and HQ roles.
- Onboarding & Offboarding: Manage employment contract preparation, coordinate onboarding for new hires (manicurists, coordinators, etc.), and handle resignation/clearance processes.
- Leave & Attendance Tracking: Monitor and verify staff attendance, overtime hours, and leave records for accurate payroll calculation.
- Employee Records: Maintain secure, updated physical and digital employee files, tracking contract renewals, probation periods, and performance appraisals.
3. Budgeting & Forecasting
- Assist in preparing annual budgets and forecasts.
- Track actual performance against budget and flag variances.
- Support management in improving cost control and margins.
- Assist in financial planning for new outlet openings and expansion.
4. Purchasing & Cost Control
- Oversee procurement of supplies (products, consumables, equipment).
- Monitor supplier pricing and identify cost-saving opportunities.
- Maintain oversight of inventory levels across outlets.
- Implement procurement controls and approval processes.
5. Financial Reporting
- Prepare monthly and quarterly financial reports.
- Provide insights on revenue trends, outlet performance, and cost drivers.
- Support preparation of management and board reports.
6. Accounting & Compliance
- Liaise with external accountants on bookkeeping, tax, and compliance.
- Support transition to in-house accounting where appropriate.
- Ensure proper financial documentation, audit trails, and compliance with local employment laws (Employment Act).
7. Business & Operational Support
- Support implementation of financial and HR systems (e.g., automated attendance/payroll platforms).
- Assist in developing and updating operational SOPs and employee handbooks across outlets.
- Provide analysis to support business decisions and expansion.
- Support evaluation of new locations and business opportunities.
Additional Growth Responsibilities
- Outlet-level profitability and unit economics tracking.
- KPI dashboards (e.g., revenue per chair, utilization, staff productivity tracking).
- Pricing strategy support.
- Internal controls and cash handling procedures.
- CapEx tracking for new store openings.
