Operations Executive (Co-Living)
Job Summary
We are looking for a proactive, responsible, and hands-on Operations Executive to oversee the daily operations of our co-living properties. This role is essential in ensuring smooth property management, excellent tenant experience, high occupancy rates, and proper upkeep of all units.
The ideal candidate is organized, customer-focused, able to multitask, and comfortable handling operational issues on-site. Experience in co-living, property management, hospitality, or rental operations is highly preferred.
Key Responsibilities
Property & Tenant Operations
- Conduct routine inspections to ensure cleanliness, safety, and operational standards are maintained.
- Coordinate tenant move-in and move-out processes, including room inspections, key handover, documentation, and photo records.
- Ensure vacant rooms are prepared and move-in ready within the required timeline.
- Monitor shared spaces and ensure house rules are complied with.
- Handle tenant complaints, maintenance issues, and emergency situations promptly and professionally.
- Follow up on overdue rental payments and coordinate recovery procedures when necessary.
Maintenance & Housekeeping Coordination
- Coordinate with cleaners, technicians, contractors, and vendors for maintenance and repair works.
- Monitor the quality and completion of maintenance jobs.
- Ensure all units and common areas remain clean, functional, and presentable at all times.
- Track inventory for household items, appliances, and operational supplies.
Tenant Experience & Retention
- Build positive relationships with tenants and provide excellent customer service.
- Handle tenant inquiries through WhatsApp, phone calls, and other communication channels.
- Support tenant retention efforts by ensuring a pleasant living experience.
- Enforce company SOPs and house rules professionally.
Operational Administration
- Maintain accurate records of tenancy, inspections, maintenance, and operational reports.
- Update operational trackers and internal systems regularly.
- Assist in preparing reports related to occupancy, maintenance, tenant issues, and operational KPIs.
- Support process improvement initiatives to improve operational efficiency.
On-Site Support
- Travel between properties for inspections, troubleshooting, and operational support.
- Be available for occasional weekend or after-office-hour operational matters when required.
Requirements
- Diploma or Degree in Property Management, Hospitality, Business Administration, or related field preferred.
- Minimum 1–2 years of working experience in operations, property management, hospitality, or co-living industry.
- Fresh graduates with strong attitude and willingness to learn are encouraged to apply.
- Strong communication and interpersonal skills.
- Good problem-solving and organizational abilities.
- Able to work independently and handle multiple properties/tasks.
- Familiar with WhatsApp, Google Sheets/Excel, and basic reporting.
- Possess own transport and valid driving license.

- Experience managing rental units or co-living properties.
- Familiar with tenant management and basic maintenance coordination.
- Customer service oriented with strong sense of responsibility.
- Able to work in a fast-paced environment.

Working Details
- Location: Johor Bahru
- Working Hours: Monday – Friday, 9am – 6pm
- Weekend standby may be required for urgent operational matters
Pay: RM3,000.00 - RM3,500.00 per month
Work Location: Hybrid remote in Johor Bahru
