We are seeking a high-caliber Executive Assistant to support our senior leadership team. In the fast-paced world of Private Equity, you aren't just an admin—you are the operational backbone of the deal team. We need someone who anticipates needs before they are articulated and executes with 100% accuracy.
Key Responsibilities
- Complex Calendar Management: Orchestrate high-volume, ever-shifting schedules across multiple time zones, prioritizing deal-critical meetings and investor relations.
- Global Travel Logistics: Coordinate end-to-end international travel, including visas, ground transport, and "point-to-point" itineraries that account for last-minute deal changes.
- Document Lifecycle: Manage the execution of NDAs, subscription booklets, and board materials. Ensure all deal-related documentation is filed and tracked with military precision.
- Expense & Reporting: Execute meticulous expense reconciliation and light financial reporting in compliance with firm and regulatory standards.
- Gatekeeping: Act as the primary point of contact for Limited Partners (LPs), portfolio company CEOs, and internal stakeholders, maintaining the highest level of discretion.
Candidate Profile
- Extreme Detail Orientation: You catch the typo in the third paragraph of a 50-page deck and notice the 15-minute overlap in a calendar three weeks away.
- Self-Initiated: You don't wait for a "to-do" list. You identify bottlenecks and solve them independently.
- High Stakes Composure: You remain calm and effective under pressure, especially during active deal closings or fundraising cycles.
- Tech Mastery: Expert-level proficiency in Microsoft Outlook, Excel, and PowerPoint. Experience with CRM systems (e.g., Salesforce, DealCloud) is a major plus.
Requirements
- Experience: At least 2 years of EA experience, preferably within Private Equity, Investment Banking, or Management Consulting.
- Education: Bachelor’s degree required.
- Availability: Ability to be reachable outside of standard market hours during active deal phases.
