Job Description

Requirements

  • Provide administrative support including managing correspondence, scheduling appointments, and maintaining office supplies for a 20-person company.

  • Assist the HR department with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.

  • Maintain employee records and ensure confidentiality of sensitive HR information.

  • Support onboarding and offboarding processes for new and departing employees.

  • Handle basic payroll processing and employee inquiries related to HR policies and benefits.

  • Organize and maintain company files, both physical and digital, ensuring easy retrieval of information.

  • Manage office logistics, including coordinating with vendors and ensuring a well-organized workspace.

  • Assist with event planning and coordination for company meetings and activities.

  • Demonstrate strong time management skills to prioritize tasks and meet deadlines effectively.

  • Exhibit a high level of responsibility and self-motivation in completing assigned duties.

  • Show a willingness to learn and adapt to new processes and technologies within the administrative and HR functions.

  • Communicate effectively in English and Bahasa Malaysia, with Mandarin proficiency being a strong asset.

  • Work independently and collaboratively within a team environment.

  • Maintain a high degree of confidentiality in all aspects of the role.

  • Possess a Diploma and 3-5 years of relevant administrative or HR assistant experience.

Responsibilities

  • Menguruskan hal ehwal pejabat am termasuk pengurusan surat-menyurat, panggilan telefon, dan pertanyaan umum.
  • Menyediakan sokongan pentadbiran kepada pasukan, termasuk penyediaan dokumen, laporan, dan pembentangan.
  • Membantu dalam proses pengambilan pekerja, termasuk pengiklanan jawatan kosong, penyaringan resume, dan penjadualan temuduga.
  • Menguruskan fail dan rekod kakitangan dengan cekap dan rahsia, memastikan ketepatan dan kebolehcapaian.
  • Menyelaras aktiviti berkaitan sumber manusia seperti pengurusan cuti, tuntutan, dan pendaftaran faedah.
  • Membantu dalam penganjuran acara syarikat dan aktiviti pembangunan kakitangan.
  • Memastikan pejabat beroperasi dengan lancar dengan menguruskan bekalan pejabat dan penyelenggaraan kemudahan.
