Job Purpose

We are building a more connected, data-driven, and technology-enabled operation.

As a Senior Digital Operations Executive, you will play a key role in transforming how the business operates by improving processes, implementing digital solutions, and creating greater visibility across operations.

You will work closely with management and operational teams to identify inefficiencies, redesign workflows, improve data visibility, strengthen system adoption, and drive digital initiatives that enhance productivity, operational control, and decision-making.

This role is ideal for someone who enjoys solving business problems, challenging outdated processes, and turning ideas into practical solutions that create measurable business impact.

Essential Requirements

Experience

  • Minimum 3–5 years of experience in digital operations, business systems, process improvement, business analysis, project coordination, or related roles.

  • Experience coordinating software implementation, system enhancements, digital transformation initiatives, or business systems projects.

  • Experience documenting workflows, SOPs, process maps, and operational procedures.

  • Experience working with multiple departments to improve business processes and operational efficiency.

  • Experience troubleshooting business system issues, automation failures, data flow problems, integration issues, or operational system incidents.

Technical Skills

  • Advanced Microsoft Excel skills, including complex formulas, PivotTables, Power Query, reporting automation, data analysis, and VBA.

  • Familiarity with AI tools and productivity technologies to improve workflows, reporting, analysis, and operational efficiency.

  • Ability to develop interim automation and process improvements before full system implementation.

  • Experience working with ERP systems and operational business software.

  • Strong analytical, problem-solving, troubleshooting, and root-cause analysis skills.

Responsibilities

Key Responsibilities

1. Business Process Improvement & Documentation

  • Analyze, document, and improve business processes, workflows, SOPs, approval flows, and operational procedures.

  • Identify bottlenecks, inefficiencies, duplicated effort, manual workarounds, and process gaps.

  • Develop and maintain process maps, workflow diagrams, user guides, and operational playbooks.

  • Support process standardization and continuous improvement initiatives across departments.

  • Assist management in translating business requirements into structured and scalable operating processes.

 

2. Digital Transformation & Systems Implementation

  • Drive the implementation, enhancement, and adoption of business systems and digital solutions.

  • Gather business requirements and translate operational needs into practical system solutions.

  • Coordinate system testing, user acceptance testing (UAT), issue resolution, and deployment activities.

  • Work closely with software vendors and technology partners to ensure successful project delivery.

  • Evaluate technologies and digital solutions that can improve operational efficiency, visibility, and control.

 

3. Operational Data & Business Visibility

  • Maintain the accuracy and integrity of operational master data and business records.

  • Support KPI tracking, reporting, and operational performance monitoring.

  • Develop and maintain operational reports, data structures, and visibility tools.

  • Monitor data quality and investigate inconsistencies across systems.

  • Ensure operational data supports timely and informed decision-making.

 

4. System Governance & User Adoption

  • Conduct periodic audits on system usage and process compliance across departments.

  • Identify instances where users have reverted to manual processes, spreadsheets, messaging platforms, or undocumented workarounds.

  • Monitor adherence to approved workflows, SOPs, and digital processes.

  • Recommend corrective actions to improve system adoption, process discipline, and operational consistency.

  • Promote a culture of digital adoption and process accountability throughout the organization.

 

5. Systems Reliability & Operational Monitoring

  • Monitor critical business systems, integrations, automations, and operational data flows to ensure reliable operation.

  • Verify scheduled automations, scripts, RPA processes, and system jobs are executed as intended.

  • Monitor third-party system integrations and data feeds to ensure data availability, completeness, and accuracy.

  • Proactively identify system interruptions, integration failures, automation breakdowns, and data discrepancies.

  • Coordinate with vendors and stakeholders to resolve issues and minimize operational disruption.

  • Maintain visibility of system health and operational readiness across key business platforms.

 

6. Digital Operations Support & Incident Management

  • Act as the primary coordination point for operational system issues reported by users.

  • Investigate and diagnose issues involving business systems, RPA processes, integrations, data flows, and operational applications.

  • Coordinate with software vendors and technology partners to troubleshoot and resolve system-related incidents.

  • Raise, track, escalate, and follow up support tickets to ensure timely issue resolution.

  • Monitor recurring issues and identify root causes to improve system reliability and user experience.

  • Maintain incident logs and communicate issue status and resolution progress to stakeholders.

  • Support business continuity by activating approved contingency procedures when systems, automations, or integrations are unavailable.

  • Assist users in utilizing fallback processes, including manual data uploads and alternative workflows, to minimize operational disruption.

  • Verify successful restoration of services and ensure affected business processes return to normal operation.

 

7. User Support & Change Management

  • Support users in the effective utilization of business systems and digital tools.

  • Conduct user training and provide guidance on system workflows and best practices.

  • Gather user feedback and identify opportunities to improve system usability and effectiveness.

  • Act as the bridge between business users and technology providers.

  • Maintain issue logs, enhancement requests, and user support records.

 

8. Continuous Improvement & Innovation

  • Identify opportunities to reduce manual work, duplicated processes, and operational inefficiencies.

  • Recommend automation opportunities, reporting enhancements, and workflow improvements.

  • Develop interim solutions using available tools and technologies while awaiting system enhancements or new implementations.

  • Utilize modern productivity and AI tools to improve efficiency, reporting, analysis, and operational workflows.

  • Maintain improvement roadmaps and track implementation progress.

  • Drive a culture of continuous improvement through systems, data, and technology.

 

9. Vendor & Project Coordination

  • Coordinate with software vendors, ERP providers, GPS providers, cloud service providers, consultants, and technology partners.

  • Monitor project progress, issue resolution, enhancement requests, and vendor performance.

  • Support technology-related projects and digital transformation initiatives.

  • Ensure projects are delivered according to agreed requirements, timelines, and business objectives.

  • Provide guidance and coordination support to junior team members or project resources when required.
