Job Summary
Responsible for administrating and coordinating the personnel division function for the following activities –recruitment, industrial relation and employee relation. Responsible for administrating and coordinating the Administration & Corporate Service division function for the following activities – employee attendance, welfare & benefits and employee facilities.
Responsibilities
Personnel Division.
- Responds to inquiries regarding policies, procedures, and programs for employee relation and benefits.
- Maintain up to date and communication of records required by law or local governing bodies, or other departments in the Company.
- Involve and assist in compensation & benefit activities such as conducting benchmark survey.
- Assist in handling industrial relation (IR) related matters such as disciplinary matters, non-performance, counselling, investigation, domestic Inquiry and maintaining related disciplinary records.
- Assist in preparing memo, formulating policies, forms related to Human Resource functions.
- Carry out recruitment and staffing functions such as to coordinate with the department for the manpower planning & requirement, advertisement, conduct interview, test and selection of right candidate to fill in the vacant positions.
- Arrange employee intake program such as employee induction program.
- Provide good service and maintain good working relationship with internal and external contacts.
- Handle and monitor employee probation, confirmation, promotion, upgrade and resignation matters including issuing letters, conducting exit interviews to determine reasons behind resignation and reporting of the interview outcome.
- Handle immigration matters such as to ensure all documentation, permit and data for foreign workers are up to date and comply to government regulations.
- To be a resource person to employees at production floor and to update and answer issues raised by employees.
- Interfaces with other departments, provide support and expertise to ensure department and Company’s goals and objective are met as required.
- Involve in the continual improvement projects when assigned by your superiors from time to time.
- Conduct HR related training for employees.
- Any other duties and responsibilities assigned by the Company from time to time.
Admin & Corporate Service Division.
- Monitor and coordinate the Company hostel and Company Uniforms in order to provide good service to the employees.
- Manage and maintain the attendance management system, including data extraction, analysis, and reporting to support operational efficiency.
- Develop, create, review, establish and implement the company policies related to employees relation, facilities, welfare and benefits.
- Ensure company events and employees benefit are timely arranged following the company policy / guideline.
- Assist in developing and executing strategies to maintain close relations and communication with employees at related departments.
- Represents the company or make arrangements for company’s contributions during community projects and at public, social or business linkage activities.
- To assist the research / gathering of materials for the company promotional/ advertising to the prestige award programme, EM Bulletin or any programme decided by EM management.
- Monitor and liaise with related departments on employee’s attendance and to ensure it is in line with the procedure / guideline.
- To ensure all admin and corporate services related reports are updated, accurate and ready on time.
- To ensure the inventory stock for admin store is updated and accurate.
- Involve and assist in the continual improvement projects when assigned by your superiors from time to time.
- Facilitates the understanding and compliance of the company policies and enforces ESH regulations.
- Any other duties and responsibilities assigned by the Company from time to time
Requirements
- Recognized university/ college degree in Business Management/ Human Resource, Law or any Management related courses.
- Preferable to have a minimum of 3 years’ experience in Human Resource function related field preferably in the manufacturing industry.
- Must be fluent in both spoken and written English and Bahasa Malaysia.
- Proficiency in MS Office (Word, Excel and PowerPoint)
- Knowledge and experience in Malaysian Labor Law and Industry Relations are essential.
- Knowledge and experience of Compensation and Benefits will be an added advantage
- Familiarity with Responsible Business Alliance (RBA) requirements is an added advantage.
- Able to interact with people at all levels and work cohesively in a team with good communication and interpersonal skills.
- Facilitates the understanding and compliance of the company policies and enforces ESH regulations.
- Able to understand department goals and recommend new approaches, policies, and procedures to drive continuous improvement
Pay: RM3,000.00 - RM6,000.00 per month
