Degree / Diploma in Secretarial Studies ,Business Administration, Office Management, Human Resources or a related discipline.
3 to 5 years'experience inExecutive Assistant, Secretarial, Office Administrativerole, withdirect reporting experience to Director / C-level.
Good organisational and time management skills.
Ability to coordinate multiple tasks and meet deadlines.
Proficiency in speaking & writing Mandarin is required to support business needs.
Experience coordinating meetings, preparing minutes and following up on action items.
Tanggungjawab
Provide day-to-day administrative support to the Company Director to ensure the smooth and efficient office operation.
Monitor, track and follow up with respective Heads of Departments (HODs) to ensure the timely submission of reports and other required documents.
Proofread, answer, and compose routine correspondence, both handwritten and electronic, prepare selective summaries, and manage follow-up actions.
Manage Document Management System (DMS). Monitor, follow up and safeguard agreements and documents in both digital and hardcopy formats, ensuring proper filing and timely retrieval.
Manage office procurement activities, including monitoring office supply levels and processing purchase requests to ensure the timely availability of office supplies.
Collaborate with team members to coordinate meetings, events and administrative activities, ensuring smooth planning and execution.
Undertake and carry out special assignments and projects as assigned.
