  • Minimum 2 years of experience in business development, tender administration, or government tender submission
  • Experience with Windows-based programs; advanced Microsoft Excel skills are a plus
  • Familiarity with government e-tender systems (e-Perolehan) is highly preferred
  • Strong organizational skills, high work ethics, proactive, and efficient
  • Ability to work independently and meet deadlines

Preferred

  • Experience with private and public tender submissions
  • Basic knowledge of contracts or commercial documentation

Position Overview

The Admistrative Associate role provides administrative and tender-related assistance to ensure smooth preparation, submission, and tracking of tenders while supporting daily office and project administration activities.

Job Responsibilities

  • Manage and coordinate end-to-end tender administration activities
  • Prepare, compile, and review tender documents to ensure accuracy and compliance
  • Coordinate inputs from sales, technical, finance, procurement, and management teams
  • Ensure all tender requirements, forms, and supporting documents are complete and submitted on time
  • Manage tender submissions via online portals (including e-Perolehan), email, or physical delivery
  • Regularly monitor tender portals for new government and private opportunities, clarifications, and addenda
  • Liaise with clients, vendors, and government agencies regarding tender queries and documentation
  • Maintain tender records, tracking logs, and submission status reports
  • Support post-tender activities including clarifications, contract documentation, and handover
  • Ensure compliance with company policies, procurement regulations, and tender procedures
