A. JOB PURPOSE

To support the Procurement & Supply Chain team in daily Operations & Maintenance (O&M) procurement and administrative activities for the Waste-to-Energy (WTE) plant, including sourcing coordination, documentation, delivery tracking, invoice verification support, and procurement data management to ensure smooth operational support and compliance with company procedures

A. DUTIS AND RESPONSIBILITIES

Procurement Administration Support

· Assist in preparing procurement documentation such as Purchase Requisitions (PR), Purchase Orders (PO), quotation comparison summaries, and vendor correspondences.

· Support procurement filing, document control, and record management activities.

· Assist in maintaining procurement trackers and databases.

Vendor & Supplier Coordination

· Follow up with suppliers and contractors on quotation submissions, delivery schedules, and supporting documents.

· Assist in coordinating communication between vendors, plant users, and Procurement personnel.

Delivery & Expediting Support

· Assist in tracking delivery status of materials, spare parts, and services.

· Coordinate with warehouse/store personnel on delivery confirmations and document collection.

Invoice & Payment Support

· Assist in checking supporting documents for invoice processing.

· Support invoice tracking and payment follow-up activities with Finance and vendors.

· Ensure documentation completeness before submission for payment processing.

Data Management & Reporting

· Update procurement tracking reports and operational procurement status.

· Assist in maintaining vendor registration and supplier information records.

· Support preparation of procurement reports and presentation materials.

Compliance & Continuous Improvement

· Ensure proper filing and adherence to procurement procedures and documentation requirements.

· Support process improvement and digitalization initiatives where applicable.

· Perform any other duties assigned by the Procurement & Supply Chain team.

A. KNOWLEDGE AND ABILITY REQUIREMENT

Knowledge

· Basic understanding of procurement, supply chain, or business administration principles.

· Basic computer literacy including Microsoft Excel, Word, and PowerPoint.

Abilities

· Good communication and interpersonal skills.

· Strong willingness to learn and adapt.

· Good coordination and follow-up capability.

· Attention to detail and documentation accuracy.

· Ability to work independently and as part of a team.

A. QUALIFICATION

Currently pursuing Diploma or Bachelor’s Degree in:

· Supply Chain Management

· Business Administration

· Logistics

· Engineering

· Procurement

· or related discipline.

A. EXPERIENCE

· No working experience required.

· Internship exposure in procurement, supply chain, logistics, plant operations, or administration is an added advantage.

Pay: From RM800.00 per month

Work Location: In person
