Key Responsibilities:

Maintain and manage all incoming and outgoing project documentation (drawings, correspondences, reports, submittals, RFIs, transmittals, etc.) in accordance with company and project requirements.

Manage and organize project files and folders in OneDrive and SharePoint, ensuring access control, version history, and document consistency.

Control the issuance, tracking, and receipt of transmittals to third party, consultants, and contractors, ensuring all submissions are properly logged and acknowledged.

Ensure all project documents are properly labelled, formatted, and updated with correct revision numbers and approval statuses.

Coordinate with the Project and Planning, and Site teams to ensure timely submission, review, and approval of documents.

Track document versions and revisions, ensuring obsolete documents are removed or clearly marked.

Distribute approved documents to relevant personnel and maintain a record of distribution.

Support project reporting by preparing document status summaries and progress updates.

Ensure confidentiality, data integrity, and controlled access to sensitive documentation.

Assist in audits, project close-out, and preparation of handover documentation.

This includes the creation, organization, distribution, and maintenance of project documents to ensure accuracy, version control, and compliance with company standards and client requirements. The role also includes managing digital document repositories such as OneDrive and SharePoint, ensuring that project information is securely stored and easily accessible to authorized personnel.
