Admin Executive

Temporary Contract (3-6 months)

RESPONSIBILITIES :

1) To advise student in course advising and time-table matching for Enrollment

2) Non-Conforming and Academically Weak Students (PSD) To prepare List of

  • Probation/Suspension/Dismissal (PSD) students to be shared with HOP, AUP Advisors, Exams Office and OAR every semester based on Grade Analysis Report from Exams Office
  • Release results to Probation and Failed Pre-requisite students.
  • Prepare the names of PSD students on Intervention Log and upload to Sharepoint for lecturers to access 2 weeks before the AUP Program Meeting
  • Assist HOP in monitoring under performing students’ performances via the Invention Log.

3) Absenteeism

  • Monitor attendance list on TCMS weekly to ensure lecturers have keyed in the attendance. Reminder to be sent to lecturer, if needed
  • Assist HOP in issuing and sending of absenteeism letter to students
  • Tracking of International students
  • Leave Application from students

4) Assist Dean and HOP in the following :

  • To assist HOP in Academic Appeal Cases – to retrieve students’ records and submission of appeal cases to Academic Affair’s Office
  • To assist with tasks pertaining to academic and administrative matters (as needed)
  • To assist with matters or tasks pertaining to pre-board with lecturers and advisors
  • To assist in the preparation and updating of MQA Documentation and preparation for MQA audit exercise
  • To assist in preparation of all audits involving AUP
  • To assist in updating AUP Student Handbook
  • To assist in updating AUP Program Guidebook
  • Assist in any other operational matters

5) To participate in Student Counseling and Marketing activities

6) Preparing and updating study plans of US universities

7) In charge of Summer students’ enquiries and enrollment

8) In charge of Peer Tutoring Program

9) To generate and prepare various Reports :

  • List of Probation/Suspension/Dismissal students, to be submitted to OAR & Exam Office to hold or release students’ results
  • Students’ Withdrawal Report and Analysis of AUP Continuing Students who did not enroll
  • List of International Students who did not Progress/Enroll, to be submitted to International Office for action and recording purposes
  • List of Students who did not Progress to the next semester, to be submitted to Scholarship Unit for recording purposes
  • In charge of database of AUP students’ contact & majors (to add new students’ details each semester)
  • Analysis on new semester students i.e. students transferred from other colleges, other programs, INTI campuses, summer students
  • Assist in getting all relevant signatures for all student appeals & withdrawals
  • Compile list of students on deferment and send letter to students (cc parent if students below 18 year old).
  • Follow-up with deferred students to remind them to enroll 1 week before the Advanced Enrollment period
  • Any other reports as needed

10) Send reminder to lecturers on submission of course works on Sharepoint before end of each semester. Check submission of each lecturer to ensure correct submission and all necessary documents are submitted

11) Assist in university visits

12) Any other duties as needed

REQUIREMENTS :

  • Able to commence work on 1 June 2026.
  • Degree or Diploma holder in the field of Business/ Administration/ Management
  • Familiarity with Interior Design, Architecture, or Graphic Design disciplines will be an added advantage
  • Confident, mature, determined and results-focused
  • Good communication and interpersonal skills
  • Detail-oriented with strong organizational skills.
  • Ability to liaise with students and collaborate effectively within a professional team environment.
  • Good planning and coordination skills for program or event activities.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

Job Types: Contract, Temporary
Contract length: 3 months

Pay: From RM2,800.00 per month
