Job Scope
The Assistant Manager, Secretarial & Corporate Relations is responsible for supporting the Company Secretary(ies) in ensuring full compliance with the Companies Act 2016, Bursa Malaysia Listing Requirements, and best practices in corporate governance. This role also involves supervising junior team members, assisting in corporate exercises, and playing a key role in annual corporate governance matters, including the AGM and Annual Report preparation. In addition, the role supports the day-to-day operations of the department.
Key Responsibilities1. Statutory Compliance & Filings
- Ensure timely and accurate submission of statutory filings and returns to the Companies Commission of Malaysia and other relevant authorities in accordance with regulatory deadlines.
2. Board & Meeting Support
- Coordinate, support, and attend meetings of the Board of Directors, Board Committees, shareholders, and Management.
- Prepare and draft meeting minutes for review and approval.
3. Bursa Announcements & Corporate Exercises
- Draft and coordinate timely submission of announcements to Bursa Malaysia Securities.
- Prepare documentation, board resolutions, and related materials for corporate exercises.
4. Annual Report & AGM
- Compile, review, and verify content for the Annual Report.
- Take a leading role in supporting Annual General Meeting (AGM) arrangements and execution.
5. Governance & Advisory Support
- Provide technical guidance on corporate secretarial and governance matters to junior team members.
- Ensure statutory registers and records are properly maintained and updated at all times.
6. Team Supervision & Operations
- Supervise and review work performed by junior staff to ensure accuracy and compliance.
- Support the Company Secretary(ies) in managing daily departmental operations.
- Perform additional duties as assigned by the Company Secretary(ies) from time to time.
Requirements
- Bachelor’s Degree in Corporate Administration, Business Administration, Finance, or related field.
- Professional qualification (ICSA/MAICSA) is preferred.
- Minimum 5 years of experience in company secretarial or corporate governance functions, preferably within a public listed company environment.
- Strong knowledge of the Companies Act 2016, Bursa Malaysia Listing Requirements, and corporate governance frameworks.
- Strong attention to detail with excellent organizational and coordination skills.
- Proficient in Microsoft Office applications and Google Workspace.
- Experience in sustainability-related initiatives will be an added advantage.
