Job Charter

The client seeking a capable and detail-oriented Secretarial Senior to support the Corporate Secretarial Services department in delivering high-quality statutory compliance and corporate governance services to their clients.

The successful candidate will assist in managing a portfolio of clients, prepare and review statutory documentation, support company incorporations and filings, and ensure compliance with relevant regulatory requirements. The role also involves mentoring junior staff and supporting the Secretarial Manager in day-to-day operations.

This is a hands-on role suited for a professional who is strong in execution, compliance accuracy, and client service within a fast-paced professional services environment.

 

Key Responsibilities

1. Corporate Secretarial Execution & Compliance

• Prepare and process statutory documents including annual returns, board resolutions, and company filings.

• Assist in company incorporations, strike-offs, changes in company structure and other statutory updates.

• Ensure timely submission of statutory documents in compliance with regulatory requirements.

• Maintain and update statutory records and corporate registers accurately.

 

2. Client Service Support

• Support management of a portfolio of corporate clients under supervision of the Secretarial Manager.

• Act as a point of contact for routine client secretarial matters.

• Assist in responding to client queries on compliance, filings and corporate governance matters.

• Ensure accurate and timely delivery of client requests.

 

3. Regulatory & Governance Support

• Ensure compliance with applicable corporate laws and regulatory requirements.

• Support preparation of documents required for regulatory filings and submissions.

• Assist in monitoring deadlines for statutory compliance obligations.

• Maintain awareness of changes in corporate secretarial regulations and practices.


4. Team Support & Development

• Support and guide junior secretarial staff and assistants where required.

• Assist in training new team members on basic secretarial processes and documentation.

• Contribute to maintaining workflow efficiency within the department.

• Escalate complex matters to the Secretarial Manager for resolution.

 

5. Process Efficiency & Documentation

• Support improvements in documentation accuracy and workflow processes.

• Ensure proper filing and organisation of corporate records.

• Assist in the adoption of digital tools for secretarial operations.

• Maintain high standards of accuracy and attention to detail in all outputs.

Requirements

Professional Qualifications

• Diploma or Degree in Business Administration, Law, Accounting or related field.

• Completion of or progress toward company secretarial qualification (preferred).

• Membership or progression toward relevant professional secretarial bodies is an advantage.

Experience

• 3–6 years of experience in corporate secretarial or compliance-related roles.

• Experience in a professional services or accounting firm environment preferred.

• Familiarity with Malaysian company secretarial practices and statutory requirements.
