Job Summary

We are seeking a highly organized and proactive Construction Site Administrator to support the daily operations of our construction site. You will work closely with the Project Manager, Site Supervisor, and subcontractors to ensure smooth administrative and documentation flow, site compliance, and efficient coordination among all stakeholders.

Responsibilities

  • Maintain and update all site documentation, permits, and records such as manpower logs, safety records, delivery orders, and equipment registers to ensure accurate and current information
  • Manage the entire process of work permit applications, accommodation reservations, personnel recruitment, and personnel entry for work to support site staffing needs
  • Prepare and process purchase orders and site requisitions to facilitate timely procurement of materials and services
  • Coordinate site correspondence between main contractors, consultants, and subcontractors to ensure clear communication and issue resolution
  • Monitor attendance, timesheets, and leave records for site personnel to maintain accurate workforce data
  • Assist in preparing site reports, progress claims, and work schedules to support project tracking and reporting
  • Support the Project Manager with administrative tasks, meeting coordination, and report submissions to enhance project management efficiency

Preferred competencies and qualifications

  • Experience with relevant resources for work permit applications and personnel management is advantageous
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and document control systems to manage site documentation effectively
  • Strong organizational skills to handle multiple administrative tasks in a fast-paced environment
  • Effective communication and teamwork skills to collaborate with various site stakeholders
