Role Overview

We are seeking a dependable, execution-focused Operations & Administration Executive to support the smooth day-to-day running of our Singapore operations.


This is a hands-on, cross-functional role covering operations, logistics, procurement, inventory coordination, administration and HR support. You will help ensure the business runs smoothly operationally while supporting the company’s continued growth.


This is not a maintenance role. This is a growth role.

Operations & Logistics

• Coordinate procurement, inventory replenishment and supplier follow-ups

• Support stock forecasting and inventory tracking

• Coordinate export documentation and shipment requirements for regional and international orders

• Liaise with freight forwarders, warehouses and relevant parties to ensure smooth export processes and timely deliveries

• Oversee shipping documentation, courier coordination and logistics follow-ups

• Support fulfilment and operational execution for online and offline channels

• Coordinate roadshow and event logistics where required

• Ensure operational tasks and deadlines are tracked and followed through


Administration & Office Coordination

• Support day-to-day office administration and coordination

• Manage office purchases, pantry supplies and operational upkeep

• Track company IT equipment and office inventory

• Organise internal filing systems and digital document management

• Coordinate product sample dispatch to regional and international partners

• Prepare operational documents, reports and meeting follow-ups where required

• Support scheduling, coordination and operational follow-ups


HR & Team Support

• Support onboarding and offboarding coordination

• Assist with HR records and staff documentation

• Support interview scheduling and hiring coordination

• Assist with internal coordination and day-to-day team support matters

• Help maintain a positive, collaborative and accountable work environment


Cross-Functional Support

• Work closely across Operations, Production, Finance and Commercial teams

• Proactively identify issues and escalate risks early

• Support cross-functional coordination to prevent operational bottlenecks

• Step in operationally where required to help keep projects and operations moving


Who We Are Looking For

• Organised, dependable and detail-oriented

• Strong sense of ownership and initiative

• Comfortable working in a fast-paced SME environment

• Experience in health & wellness, FMCG, supplements/nutraceuticals or related industries is advantageous

• Able to manage multiple operational tasks simultaneously

• Practical problem-solver who does not wait passively for instruction

• Comfortable working across functions rather than within rigid job boundaries

• Tech-savvy and comfortable with Excel and other digital tools

• Good communication and follow-through

• Familiarity with export/shipping documentation and cross-border logistics is advantageous

• Interested in learning and growing operationally


Experience in operations, logistics, procurement, inventory, administration or fulfillment coordination is advantageous.
