Role Summary
The Production & Wholesale Coordinator supports daily bakery production planning and wholesale order coordination. This role acts as the central link between wholesale clients, retail outlets, and the production team to ensure accurate order consolidation, efficient production scheduling, and smooth delivery coordination. The position focuses primarily on production planning and wholesale execution, with basic logistics coordination where required.
Key Responsibilities
Production Planning & Coordination
- Collect and consolidate daily wholesale and retail orders
- Convert orders into organized production sheets for the BOH team
- Plan production quantities based on kitchen capacity
- Ensure accuracy of quantities, product variations, and timelines
- Coordinate with BOH team to align production flow and efficiency
- Highlight potential production risks (festive period, high demand, shortages)
Wholesale Order Coordination
- Receive and process wholesale client orders accurately
- Clarify missing or unclear orders before production begins
- Serve as coordination point between wholesale clients and production team
- Track special bulk orders and event requirements
- Ensure wholesale orders are prepared according to schedule
Documentation & Recipe Management
- Maintain and update recipe sheets and production templates
- Ensure batch calculations and yields are accurate
- Update documents during menu or seasonal changes
- Flag inconsistencies to BOH or relevant stakeholders
Order Execution Support
- Prepare labels and stickers for wholesale orders
- Ensure labels match production sheets before dispatch
- Coordinate timing for large or special orders
- Assist in ensuring readiness for delivery
Communication & Coordination
- Act as central communication point between wholesale clients, production team, and retail outlets
- Provide production updates and highlight issues early
- Align delivery timing with production completion
Basic Logistics Coordination (Supporting Scope)
- Coordinate delivery schedule with drivers
- Ensure orders are dispatched on time
- Track delivery status when required
- Assist in resolving delivery-related issues
Administrative & Reporting
- Archive daily and weekly production sheets
- Maintain production accuracy logs
- Suggest workflow improvements
- Support process improvements for production planning
Requirements
- Malaysian applicants only
- Valid GDL license highly preferred
- Strong organizational and planning skills
- High attention to detail
- Comfortable working with numbers and batch calculations
- Good communication and coordination ability
- Proficiency in Google Sheets / Excel
- Basic understanding of kitchen or production workflow (preferred)
- Proactive and systematic working style
Pay: RM3,000.00 - RM3,600.00 per month
