Position Title: Academic Coordinator
Reports To: Centre Operation Manager
Department: Academics
Location: [Damansara Jaya]

1. Role Overview

The Academic Coordinator is responsible for the academic quality and student progress at at Brixsten Academy While the Curriculum team designs what is taught, the Academic Coordinator ensures how it is taught is effective, engaging, and consistent.

This role involves mentoring tutors, tracking student performance data, communicating academic progress to parents, and ensuring that the centre delivers on its promise of "results." This is a middle-management role that requires both teaching experience and leadership skills.

2. Key Objectives

· Maintain high standards of teaching quality across all subjects and year groups.

· Improve student learning outcomes and ensure measurable academic progress.

· Support, mentor, and retain high-quality tutors.

· Act as the key academic liaison for parents regarding student progress and concerns.

· Ensure seamless academic operations (class placement, reporting).

3. Core Responsibilities & Deliverables

· Tutor Management & Mentoring

· Tutor Onboarding: Train new tutors on the centre's teaching methodologies, lesson plan formats, and behavioural management techniques.

· Observation & Feedback: Conduct regular classroom observations (at least once per term per tutor). Provide constructive feedback and model best teaching practices.

· Mentoring: Act as the first point of contact for tutors facing challenges with students, parents, or lesson delivery.

· Performance Reviews: Contribute to tutor performance evaluations, identifying areas for improvement and high-potential staff for promotion.

· Cover Management: In coordination with Operations, arrange for substitute tutors when regular staff are absent, ensuring lesson quality does not drop.

B. Student Progress & Assessment

· Progress Tracking: Oversee the system for tracking student grades, attendance, and homework completion. Identify students who are "at risk" of falling behind.

· Intervention Strategies: Develop intervention plans for struggling students (e.g., extra work, syllabus adjustment, recommending additional hours).

· Reporting: Coordinate the creation and distribution of termly academic reports or progress cards for parents.

· Placement Testing: Oversee the entry assessment process to place new students in the correct level or class.

C. Parent Communication & Relationship Management

· Parent-Teacher Meetings (PTMs): Organize and lead PTMs. In some centres, the Academic Coordinator will be the one presenting the student's progress, not the tutor.

· Academic Counselling: Meet with parents to discuss concerns. Advise on next steps and study strategies.

· Progress Updates: For high-priority students, provide periodic written or verbal updates to parents regarding improvement.

D. Curriculum Delivery Support

· Lesson Plan Adherence: Ensure tutors are following the curriculum maps and schemes of work provided by the Curriculum team.

· Resource Feedback: Collect feedback from tutors on worksheets and textbooks. Inform the Curriculum team of any gaps or needed updates.

· Examination Preparation: Oversee the execution of mock exams and intensive revision camps during exam seasons.

· E. Academic Operations

· Class Formation: Advise the Operations/Admin team on class groupings based on student ability levels and compatibility.

· Timetabling Input: Provide academic input into the tutor schedule (e.g., ensuring the strongest teacher is placed with the weakest class).

· Quality Assurance: Conduct spot-checks on marked work to ensure tutors are providing meaningful feedback to students.

4. Key Performance Indicators (KPIs)

· Student Results: Average grade improvement of students (e.g., % of students achieving target grades).

· Parent Satisfaction: Parent feedback scores regarding academic communication and progress updates.

· Educators Performance: Educator retention rate; tutor observation scores.

· Intervention Success: % of "at-risk" students who improve after intervention plans are implemented.

· Reporting Accuracy: Timely and error-free delivery of academic reports.

5. Reporting Structure & Collaboration

· Reports to: Head of Education.

· Supervises: Part-time and full-time Educators (academic oversight, not necessarily HR line management).

Collaboration:

· With Curriculum Team: To ensure the content provided is teachable and effective.

· With Operations Manager: To coordinate schedules, rooms, and PTM logistics.

· With Marketing: To provide academic content for blogs, social media (e.g., "Study Tips from our Academic Coordinator"), and parent seminars.

6. Qualifications & Experience

Education: Bachelor’s Degree In Education (B.Ed.) or a related field. A Master’s degree or teaching certification is highly preferred.

Experience:

· 3-5 years of teaching experience in a classroom setting (school or tuition centre).

· 1-2 years of experience in a leadership or mentoring role (e.g., Lead Teacher, Head of Department).

· Skills:

· Pedagogical Knowledge: Deep understanding of how children learn and different teaching methodologies.

· Data Analysis: Ability to read assessment data and turn it into actionable teaching strategies.

· Conflict Resolution: Ability to mediate between a frustrated parent and a tutor.

· Leadership: Ability to inspire and guide tutors who may be older or more experienced in specific subjects.

7. Terms & Conditions

Employment Type: Full-time.

Work Hours: [e.g., Monday - Friday 8.30/9:30 AM - 5.30/6:30 PM; Saturday, 8:30 AM - 2:30 PM] (must be flexible for weekend events).

Location: On-site at [Damansara Jaya] with occasional off-site meetings.

Compensation: Base salary

Pay: RM3,000.00 - RM4,000.00 per month
