HR & Admin Assistant (Fresh Graduates Encouraged to Apply)
Job Description
We are looking for a proactive and motivated HR & Admin Assistant to support our Human Resource and Administrative functions. Fresh graduates who are eager to learn and grow in the HR field are encouraged to apply.
Responsibilities
HR Support
- Assist in recruitment activities including job posting, interview arrangement, candidate coordination, and onboarding preparation.
- Prepare and maintain employee personal files, HR records, and documentation.
- Assist in preparing HR letters such as Offer Letter, Confirmation Letter, Warning Letter, and other HR-related correspondence.
- Monitor staff attendance, leave records, confirmation due dates, and contract expiry.
- Assist in payroll preparation and verification process.
- Handle staff inquiries related to HR administrative matters.
- Ensure proper filing and confidentiality of employee records.
- Assist in updating HR policies, forms, SOPs, and employee database when required.
- Handle staff claim submission checking and ensure supporting documents are complete before submission for approval/payment processing.
Administrative & Office Management Support
- Manage office administration and daily office operational matters.
- Monitor and replenish office supplies, pantry items, and toiletries.
- Handle purchasing requests and coordinate with suppliers/vendors for office-related items.
- Maintain office cleanliness and coordinate maintenance/service appointments when required.
- Manage office keys, access control, and meeting room arrangements.
- Assist in organizing company events, staff activities, celebrations, and internal engagements.
- Support management and departments on general administrative coordination.
- Handle courier, mailing, and document distribution matters.
- Assist in preparing reports, trackers, and administrative documentation when required.
Others
- Perform other ad hoc duties and tasks as assigned by Management from time to time.
- Comply with company instructions and policies in accordance with applicable laws and regulations.
Requirements
- Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
- Fresh graduates are encouraged to apply.
- Basic knowledge of HR functions and office administration will be an added advantage.
- Proficient in Microsoft Office applications (Word, Excel & PowerPoint).
- Good communication and interpersonal skills.
- Able to handle confidential information professionally.
- Organized, responsible, and able to multitask in a fast-paced environment.
- Willing to learn and able to work independently with minimal supervision.
- Positive attitude, disciplined, and a good team player.
