Job Summary:
The Property Operations Administrator is responsible for the smooth daily operations of the property, ensuring efficient management of tenant relations, administrative tasks, and marketing efforts. This role will involve communication with tenants and landlords, handling day-to-day operations, maintaining records such as invoices and receipts, and assisting in the marketing of vacant units. The ideal candidate will possess strong organizational skills, a customer-service-oriented approach, and a proactive attitude towards solving issues.
Key Responsibilites:
1. Tenant and Landlord Communication
o Serve as the main point of contact for tenants and landlords, addressing inquiries, resolving complaints, and managing requests.
o Coordinate and schedule maintenance and repairs with contractors or maintenance staff. o Conduct regular follow-ups with tenants to ensure satisfaction and address any concerns promptly.
2. Day-to-Day Operations:
o Oversee the day-to-day activities of the property, ensuring smooth operations and addressing operational issues as they arise.
o Ensure that property rules and regulations are followed by tenants.
o Coordinate property inspections, move-in/move-out procedures, and ensure all property-related tasks are completed on time.
3. Documentation Management:
o Maintain accurate records of tenant leases, invoices, receipts, and other property related documents. o Prepare and send monthly invoices and receipts to tenants and landlords. o Ensure proper filing and tracking of all relevant documentation for compliance and reporting.
4. Marketing and Leasing:
o Assist in creating and posting property listings on various platforms to advertise vacant rooms or properties.
o Coordinate property showings and follow up with potential tenants.
o Assist in screening prospective tenants and processing rental applications.
o Ensure property listings are up-to-date and include relevant photos, descriptions, and contact information.
5. Financial Support:
o Assist in tracking rent payments, monitoring overdue accounts, and sending reminders to tenants as necessary.
o Maintain an organized system for tracking security deposits, rent collections, and payment history.
6. Problem Solving:
o Identify and resolve any issues related to tenants, property maintenance, or operations.
o Coordinate with vendors, contractors, and maintenance teams to ensure timely resolution of property-related issues.
7. General Administrative Support:
o Provide general administrative support to the property management team, including answering phones, scheduling appointments, and organizing meetings.
o Assist with property audits and reporting as needed.
o Handle other duties and projects as assigned by the property management team.
Qualifications:
Job Types: Full-time, Permanent,
Pay: RM1700.00 - 2000 per month with commission
