We are seeking a meticulous and proactive Billing Administrator to join our team. You will play a key role in ensuring all completed jobs are accurately invoiced and revenue is properly captured. You will coordinate with operations, marketing, and finance teams to maintain smooth billing processes.

Key Responsibilities

  • Prepare and issue Debit notes/Credit Notes/Invoices based on completed jobs and confirmed rates
  • Verify all supporting documents (Quotation, Delivery Notes, Job Orders) are complete and accurate
  • Coordinate with Operations, Marketing, and Managers to resolve billing discrepancies
  • Ensure bills are dispatched or submitted to customers on time as per set KPI
  • Track unbilled jobs and ensure timely monthly billing closure
  • Coordinate with Accounts and Finance for billing submission and reconciliation
  • Maintain organized filing and scanning of invoices and supporting documents for reference and audit
  • Maintain basic reporting on billing status and revenue report
  • Highlight delayed or disputed invoices for resolution
  • Support with Ad-Hoc duties assigned by superior.

Requirements

  • Diploma/Advanced Diploma/Bachelor Degree in Finance/Accounting/IT/Business or equivalent
  • Minimum 2 years experience in billing, accounts, or administrative roles (logistics experience preferred)
  • Familiarity with e-invoices and electronic billing systems.
  • Strong attention to detail and organizational skills
  • Basic understanding of accounting or finance processes
  • Highly proficient in billing software and Microsoft Excel
  • Possess effective communication skills to deal with stakeholders and team
  • Able to work independently and meet deadlines
