Data Entry Clerk

Primary Objective:
To accurately and efficiently input, update, and maintain various company data into digital systems and databases, ensuring all records are complete, timely, and reliable to support daily operations and decision-making.
Key Responsibilities & Job Scope:
Core Data Entry & Processing:
- Accurately enter data from source documents (invoices, delivery orders, purchase orders, sales orders, inventory lists) into the company’s ERP system and MS Excel/Google Sheets.
- Process and verify data related to raw material intake, finished goods production, wastage and stock transfers between warehouse, central kitchen or outlets.
- Input sales orders from various channels (wholesalers, distributors, retail partners) and ensure they are correctly logged for fulfillment.
- Update and maintain customer and vendor databases with accurate contact and transactional information.
Inventory & Stock Data Management:
- Assist in updating daily stock levels, batch numbers, and expiry dates in the inventory management system.
- Support stock take activities by preparing count sheets and inputting physical count data for reconciliation.
- Generate and distribute basic daily or weekly inventory reports (e.g., low-stock alerts) for the operations team.
Documentation & Administrative Support:
- Scan, file, and organize digital copies of all source documents for easy retrieval and audit purposes.
- Prepare and format routine reports, labels, and lists as requested by supervisors.
- Verify the accuracy of data by cross-referencing documents and reports.
- Assist in preparing documents for logistics and shipment, ensuring data matches purchase orders.
Quality Assurance & Compliance:
- Perform regular data checks to identify and correct discrepancies or errors.
- Ensure all data entry activities comply with company procedures and data integrity policies.
- Maintain confidentiality of sensitive company, customer, and supplier information.
Coordination & Communication:
- Liaise with warehouse staff, sales representatives, and procurement officers to clarify missing or unclear data.
- Report any persistent data issues or system inconsistencies to the supervisor.
Qualifications & Skills Required:
- Education: SPM/Diploma in Business Studies, Administration, or any related field.
- Experience: Minimum of 1 year of data entry experience, preferably in F&B, manufacturing, retail, or logistics. Fresh graduates with relevant internships are encouraged to apply.
Technical Skills:
- Proficient in Microsoft Office Suite (Excel is critical) – must be comfortable with VLOOKUP, basic formulas, and pivot tables.
- Fast and accurate typing skills (min. 40-50 WPM).
- Experience with an ERP system is a strong advantage.
- Ability to operate basic office equipment (scanner, printer).
Soft Skills:
- Meticulous attention to detail and a commitment to accuracy.
- Good time management and ability to meet deadlines.
- Basic proficiency in English and Bahasa Malaysia. Understanding of Indonesian (Bahasa Indonesia) is a significant plus due to product nature and some documentation.
- Able to work independently and as part of a team.
Job Types: Full-time, Contract
Contract length: 12 months
Pay: RM1,900.00 - RM2,500.00 per month
