Job Summary

The Inbound Executive is responsible for managing all incoming shipments, ensuring accurate receiving, documentation, and system updates. This role coordinates closely with suppliers, transporters, and warehouse teams to ensure smooth inbound operations and inventory accuracy.

Key Responsibilities

1. Inbound Coordination

  • Plan and schedule incoming deliveries with suppliers and transporters
  • Coordinate receiving activities with warehouse team
  • Ensure timely unloading and proper handling of goods
  • Monitor inbound schedule and resolve delays

2. Receiving & Verification

  • Verify incoming goods against Purchase Orders (PO), Delivery Orders (DO), and invoices
  • Check quantity, quality, and condition of goods upon arrival
  • Report discrepancies, damages, or shortages immediately
  • Ensure proper labeling and put-away instructions

3. Documentation & System Update

  • Prepare and maintain inbound documentation (GRN, DO, invoices)
  • Update inventory records in system (WMS/Excel) accurately and timely
  • Maintain proper filing for audit and compliance

4. Inventory Control Support

  • Ensure stock is received and recorded correctly
  • Assist in stock reconciliation and cycle counts
  • Work with inventory team to resolve discrepancies

5. Communication & Coordination

  • Liaise with suppliers regarding delivery schedules and issues
  • Communicate with warehouse and transport team on inbound status
  • Provide updates to internal stakeholders on shipment arrivals

6. Reporting

  • Prepare daily inbound reports (receiving status, discrepancies, delays)
  • Track inbound performance and highlight issues
  • Assist in KPI tracking (on-time receiving, accuracy rate)

Requirements

  • Minimum Diploma / Degree in Logistics, Supply Chain, Business Administration or related field
  • 1–3 years experience in warehouse, logistics, or inbound operations (preferred)
  • Basic knowledge of inventory systems (WMS/ERP)
  • Proficient in Microsoft Excel
  • Strong attention to detail and accuracy
  • Good communication skills (English & Bahasa Malaysia

Pay: RM3,500.00 - RM4,500.00 per month

Work Location: In person
