Tanggungjawab

Project Coordination

  • Assist Project Managers in planning, coordinating, and implementing project activities.
  • Coordinate project resources, equipment, schedules, and information.
  • Liaise with internal and external stakeholders to define project requirements, scope, and objectives.
  • Monitor project timelines and follow up on action items to support project delivery.

Documentation & Reporting

  • Prepare, maintain, and update project documentation, including project plans, schedules, status reports, and trackers.
  • Maintain registers, filing systems, and ensure records are accurate and audit-ready.
  • Compile and consolidate data for project metrics, budget tracking, and basic financial reporting.
  • Ensure proper document control, version management, and approval processes are followed.

Meeting & Communication Support

  • Coordinate and arrange meetings, workshops, and stakeholder engagements.
  • Prepare meeting agendas, collate supporting documents, and record accurate minutes.
  • Communicate project updates, issues, and risks to relevant stakeholders in a timely manner.
  • Handle incoming and outgoing correspondence, including emails and phone calls.

Administrative & Operational Support

  • Provide comprehensive administrative support to the project team.
  • Assist with procurement activities, delivery coordination, and invoice processing.
  • Support day-to-day operational and administrative functions to ensure smooth project execution.
  • Maintain organized records and ensure compliance with company procedures and standards.


Requirements

  • Minimum 1–2 years of administrative or project coordination experience preferred.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, communication, and multitasking skills.
  • Ability to work independently and manage multiple tasks effectively.
  • Detail-oriented with good documentation and record-keeping skills.
