The Account & Admin Assistant is responsible for handling daily accounting and administrative operations. This role includes preparing sales documentation, monitoring customer payments, maintaining stock records, and assisting in basic financial reporting. The ideal candidate is detail-oriented, organized, and able to support business operations efficiently while coordinating with sales and technical teams.

Responsibilities:

1. Documentation & Administration

  • Handle sales order processing from lead to collection
  • Prepare sales documents such as Sales Agreements, Invoices, and Delivery Orders
  • Manage document filing and generate reports related to sales enquiries

2. Accounting & Finance

  • Handle basic accounting tasks, including Accounts Receivable (AR)
  • Check and verify invoices and payments
  • Monitor customer payments and maintain AR aging reports

3. Reporting & Records

  • Prepare weekly reports (sales, stock, and AR reports)
  • Maintain and update customer information in the accounting system
  • Ensure all records are accurate, complete, and properly organized

4. Inventory Management

  • Verify incoming and outgoing stock against Delivery Orders (DO) and Purchase Orders (PO)

5. Coordination & Follow-Up

  • Coordinate with salespersons and technicians regarding payment status
  • Follow up on outstanding customer payments consistently

6. General Administration

  • Handle basic office duties such as answering calls, replying emails, handling mail, and filing
  • Maintain proper record-keeping and organized filing system
  • Support daily administrative operations

7. Additional Duties

  • Perform any ad-hoc tasks assigned by management from time to time

Requirements:

  • Minimum Diploma / Advanced Diploma / Higher Diploma in Accounting or equivalent
  • Fresh graduates are encouraged to apply
  • Able to work independently and resourceful
  • Strong attention to detail with high accuracy and reliability
  • Good communication skills
  • Team player with positive working attitude
  • Able to communicate in English and Bahasa Malaysia
  • Knowledge of SQL Accounting System and AutoCount Accounting System is an advantage
