JOB DESCRIPTION
Operation Executive (OE)
Position Summary
The Operation Executive (OE) is responsible for managing and monitoring daily operational activities, ensuring smooth communication between clients, management, and operation teams. The OE shall ensure all operational matters, documentation, reporting, personnel welfare, and site operations are carried out effectively in accordance with company SOP, policies, and client requirements.
Key Responsibilities & Duties
Daily Responsibilities
Monitor, reply, answer, and take action on letters and emails related to operational matters and requirements.
Ensure operational issues raised by clients, guards, or operation teams are attended to within the allocated time frame.
Weekly Responsibilities
Maintain good rapport with clients and conduct client visits at least twice weekly.
Attend meetings with clients on behalf of the company.
Prepare Minutes of Meeting (MOM) and submit to SOE/BrM/AOM/OM before taking further action or responding to client requirements.
Plan and execute weekly operation meetings with respective PO and update SOE/BrM/AOM/OM on important operational matters.
Attend operation meetings with SOE/BrM/AOM/OM as instructed.
Monitor and ensure Log Books are submitted to MO daily for verification and endorsement between 9.00 AM to 10.00 AM.
Ensure Guards properly record daily occurrences in relevant Log Books and comply with SOP requirements.
Liaise with NOO/OO regarding requests from PO such as uniforms, salary matters, operation equipment, stationery, advance money, petty cash, and related operational requirements.
Monitor and ensure requested items are received and delivered to guards at sites within the stipulated time frame.
Liaise with SPO regarding PO Work Orders (WO) and ensure implementation/completion within the allocated time frame.
Ensure PO submit weekly Work Order progress updates to SPO every Saturday.
Monthly Responsibilities
Prepare and update Monthly Reports including:
Site Audit Summary Report
Incident Summary Report
Other operational reports
Submit monthly reports to SOE/BrM/AOM/OM.
Prepare and submit Monthly Visit Schedule for Night PO to SOE/BrM/AOM/OM for approval.
Execute scheduled visits and submit visit reports accordingly.
Collect invoices or Liquidated Damages (LD) documents from HQ and deliver to clients when instructed.
Collect credit notes from clients and submit to HQ.
Ensure all invoice, LD, credit note, and transaction records are properly recorded, verified, and validated.
Collect cheques from clients, perform bank-in processes, and submit bank-in slips to HQ when instructed.
Ensure all financial transactions are properly documented and verified.
When Required Responsibilities
Monitor and ensure Incident Reports are processed according to Incident Reporting Process SOP within the allocated time frame.
Review, amend, and update incident reports uploaded by PO before submission for AOM/OM approval.
