Overview:

We are seeking a forward-thinking Assistant Manager, HR Shared Services to run the day-to-day operations of our HR Shared Services team. The successful candidate will ensure seamless operational processing and strict adherence to Service Level Agreements (SLAs).

A critical focus of this role is to act as a catalyst for innovation. The ideal candidate will go beyond standard operational delivery by proactively identifying opportunities to improve existing processes, leveraging HR technology (i.e. Workday) to automate workflows, and exploring Artificial Intelligence (AI) solutions to eliminate repetitive tasks. You will help build a future-ready HRSS function while supporting the broader goals of the HRD department.


Key Responsibilities

  • Drive Day-to-Day Operations: Oversee and execute the daily processing of HR Shared Services tasks, including recruitment administration, onboarding, staff movements, offboarding, invoice payments, and core data management.
  • SLA & Quality Management: Monitor performance to ensure all activities are processed efficiently, accurately, and in strict accordance with SLAs. Track metrics and ensure absolute data integrity across HR systems. Handle requestor requests with politeness and detailed responses.
  • Process Improvement & Automation: Proactively audit existing workflows to identify bottlenecks. Share ideas for continuous improvement and Champion the use of HR technology, system integrations, and AI tools to automate manual tasks and streamline service delivery. Proactively identifying process gaps and proposing solutions.
  • SOP Maintenance: Assist in developing, refining, and maintaining streamlined Standard Operating Procedures (SOPs) that reflect new automated workflows and best practices.
  • Issue Resolution & Escalation: Act as the primary point of contact for complex day-to-day operational queries and escalations, applying strong problem-solving skills to resolve issues swiftly.
  • Risk & Quality Support: Support the Manager in executing risk and quality plans, conducting regular quality checks, and implementing mitigation strategies.
  • Stakeholder Collaboration: Build and maintain close, supportive relationships with other HR centers of excellence and business partners to ensure smooth end-to-end employee experiences.
  • Team Development: Assist in coaching, guiding, and developing team members, fostering a culture of continuous improvement, technological adaptability, and high performance. Consistently collaborates within and across teams, sharing knowledge and support.


Skills & Experience We Are Looking For:

  • A Bachelor’s degree is required.
  • At least 2-3 years of experience in HR operations, recruitment administration, or an HR Shared Services environment.
  • Experience acting in a supervisory, senior, or team lead capacity is an advantage.
  • Proven track record of participating in process improvement initiatives, system migrations, or automation rollouts.
  • Lean Six Sigma certification (or similar CI framework knowledge) is preferred.

  • Communication & Leadership: Excellent interpersonal skills with the ability to manage stakeholder expectations and a genuine interest in mentoring and developing staff.

  • Operational Excellence: Continuous Improvement and Process-orientation mindset, actively committed to process improvement
