Job Summary

Manage site operations, support project management activities, and oversee office administration to ensure timely project completion, regulatory compliance, and efficient organizational functioning.

Responsibilities

  • Coordinate with site teams, contractors, and vendors to ensure timely completion of projects
  • Monitor site activities, progress, and quality control to maintain project standards
  • Conduct site inspections and audits to verify compliance with safety and regulatory requirements
  • Manage site documentation, including permits, licenses, and certifications, to ensure regulatory adherence
  • Liaise with local authorities and stakeholders to resolve site-related matters effectively
  • Coordinate with logistics teams to schedule and track equipment and material deliveries
  • Maintain site facilities and equipment to ensure operational readiness and safety
  • Provide administrative support to project managers by scheduling meetings and preparing reports
  • Coordinate project timelines, milestones, and deliverables to align with project goals
  • Assist in project planning, budgeting, and resource allocation to optimize project execution
  • Prepare and distribute project documentation, including proposals, contracts, and reports, to support project transparency
  • Monitor project progress, identify risks, and implement mitigation strategies to ensure project success
  • Facilitate communication among project stakeholders, including clients, contractors, and vendors, to maintain alignment
  • Assist in project closure activities, including documenting lessons learned and conducting evaluations
  • Manage office facilities by overseeing maintenance, utilities, and supplies to support daily operations
  • Coordinate with vendors and service providers for office services such as cleaning and IT support to ensure smooth functioning
  • Oversee office administration functions including HR, finance, and procurement to maintain organizational efficiency
  • Prepare and distribute office reports, including financial and operational reports, to inform management decisions
  • Ensure compliance with company policies, regulatory requirements, and labor laws to uphold organizational standards
  • Manage office records, including documents, files, and archives, to maintain accurate information management
  • Coordinate company events, meetings, and training programs to support employee engagement and development

Preferred competencies and qualifications

  • Diploma or degree in business administration, management, or related field
  • Experience in administrative support or related roles
  • Proficiency in MS Office, Google Suite, or other productivity software
  • Familiarity with project management tools such as Asana, Trello, or MS Project
  • Ability to work independently and collaboratively within a team
  • Strong communication, interpersonal, and problem-solving skills
  • Strong organizational and time management skills
