Overview of the Position:
This role is responsible for the administration of the event ticketing system, logistics, and overall event operations support for company events involving Independent Business Owners (IBOs).
You will manage event system setup, including creating event codes and registration configurations, while also handling the logistics and administration of events such as venue arrangements, materials coordination, and operational readiness. In addition, you will serve as the main liaison between IBOs and the IT team, ensuring smooth registration processes and resolving system-related issues.
This role supports the full event lifecycle from digital registration to physical execution, ensuring a seamless experience for all participants.
The role required to execute the below tasks and initiative:
Ticketing System Setup & Event Configuration
- Create and configure event codes in the ticketing/registration system for each event.
- Set up event listings including ticket types, pricing, quotas, and registration details.
- Ensure all system configurations are accurate and aligned with event requirements and timelines.
- Conduct system testing and validation prior to event launch.
IBO Support & Issue Resolution
- Act as the first point of contact for IBOs on event registration and ticketing system issues.
- Troubleshoot and resolve system-related issues such as login errors, registration failures, and ticket access problems.
- Provide clear step-by-step guidance to IBOs on system usage.
- Escalate technical issues to IT and follow up until resolution.
Event Logistics & Administration
- Manage the logistics and administration of events, including venue coordination, seating arrangements, AV setup, signage, booths, and event materials.
- Coordinate with vendors, internal teams, and venue providers to ensure all operational requirements are fulfilled.
- Ensure timely preparation, delivery, and setup of event materials and supplies.
- Support on-site event operations to ensure smooth execution.
- Oversee post-event dismantling, inventory control, and proper storage of materials and equipment.
Data & Reporting
- Maintain accurate records of registrations, ticket purchases, and attendance data.
- Monitor system reports and identify discrepancies or issues.
- Support reporting on event participation and operational performance.
To be successful in this role, we are expecting the below:
- Diploma or Degree in Business Administration, Information Technology, Event Management, or related field.
- Minimum 1 year of experience in events, administration, customer support, or system coordination.
- Experience with ticketing systems or event registration platforms is an advantage.
- Strong coordination, problem-solving, and multitasking skills.
- Comfortable working with systems, logistics, and operational processes.
- Proficient in Microsoft Excel (basic reporting and data tracking).
- Willing to work weekends or extended hours during event periods when required.
- Willing to travel for event execution when necessary.
- Willing to work on weekends and after working hours.
- Willingness to travel as required.
