Core Job Scope
1. Patient Management
- Register new patients and update records
- Schedule, confirm, and reschedule appointments
- Handle patient enquiries via phone, WhatsApp, email, and walk-ins
- Follow up on missed appointments
- Manage recall lists for check-ups, scaling, braces reviews, and implant reviews
2. Front Desk & Reception
- Welcome and assist patients
- Check patient information before treatment
- Manage patient flow and waiting times
- Handle patient feedback and complaints professionally
- Handling panels
3. Billing & Payment
- Prepare treatment quotations
- Process payments (cash, card, online transfer, e-wallet)
- Issue receipts and invoices
- Prepare daily cash collection reports
- Coordinate insurance and panel claims where applicable
4. Treatment Coordination
- Explain treatment plans and costs based on the dentist's recommendations
- Arrange appointments for multiple treatment visits
- Follow up on pending treatment acceptance
- Monitor treatment completion rates
5. Administrative Duties
- Maintain patient records and filing systems
- Prepare monthly reports
- Manage correspondence and documentation
- Ensure consent forms are properly completed
- Support licensing and compliance documentation
6. Inventory & Purchasing
- Monitor stock levels of dental materials and consumables
- Prepare purchase orders
- Coordinate with suppliers
- Track deliveries and invoices
7. Marketing & Customer Service
- Manage clinic social media inquiries
- Follow up on online leads
- Assist with marketing campaigns and promotions
- Collect patient reviews and testimonials
- Maintain patient satisfaction
8. Team Support
- Coordinate dentists', therapists', and assistants' schedules
- Organize staff meetings
- Assist with staff attendance and leave records
- Support training and onboarding activities
Key skills & attributes
· Strong organizational, multitasking, and time-management skills.
· Excellent interpersonal and conflict-resolution skills; patient-focused.
· Basic financial literacy (billing, reconciliation).
· Familiarity with dental terminology, workflows, and regulatory requirements.
· Proficient with practice management software, MS Office.
· Reliable, discreet, and able to handle confidential information.
· Results-driven, strategic thinker with hands-on execution capability
· Innovative, good attitude, responsible, self discipline and able to work independently
Pay: RM2,000.00 - RM3,000.00 per month
