Tanjung Food Hub is a fast-growing restaurant in Labuan. We are looking for a responsible, organized, and detail-oriented Admin & Inventory Controller to support our daily operations, inventory records, purchasing documents, supplier coordination, and basic admin work.
This role is suitable for candidates who are careful with details, good with documents and numbers, willing to learn inventory control, and able to work closely with the operations team.
Main Purpose of the Role
The main purpose of this role is to ensure daily inventory and admin records are properly updated, checked, filed, and reported.
You will support the operation team by keeping documents accurate, assisting with stock control, following up with suppliers, and preparing basic reports. You will also be guided and supported by the Cost Control Executive for costing, variance, and inventory control matters.
Key Responsibilities;
Inventory & Stock Control
- Assist in physical stock count.
- Update inventory and stock records.
- Record stock movement, stock balance, shortages, excess stock, and slow-moving items.
- Assist in checking stock variance and stock usage.
- Report stock issues to the Operation Manager and Cost Control Executive.
- Work with the Head Chef and FOH Manager on daily stock needs.
- Help maintain proper inventory records.
Purchasing & Supplier Support
- Assist in preparing purchase orders when required.
- Check purchase requests from the operation team.
- Follow up with suppliers on order status, delivery, pricing, and documents.
- Check invoices, delivery orders, and purchase records.
- Maintain supplier database.
- File purchase documents properly.
- Support price comparison and supplier record updates.
Admin & Documentation
- File invoices, delivery orders, supplier documents, and internal records.
- Perform data entry for inventory, purchasing, and admin records.
- Prepare basic weekly and monthly reports.
- Track license, health documents, and expiry reminders.
- Maintain staff document tracking records.
- Support the Operation Manager with basic admin tasks.
- Ensure documents are neat, complete, and easy to retrieve.
Report & Cost Control Support
- Assist the Cost Control Executive in preparing inventory and stock reports.
- Help collect data for stock usage, wastage, and variance checking.
- Highlight missing documents, unusual stock movement, or repeated stock issues.
- Support basic cost-control documentation.
- Ensure reports are submitted on time.
Requirements
- Minimum 1–2 years’ experience in admin, inventory, purchasing, accounts, stock control, storekeeping, or operations support.
- Good in Microsoft Excel / Google Sheets.
- Able to perform accurate data entry.
- Able to check invoices, delivery orders, and purchase records.
- Organized, honest, responsible, and detail-oriented.
- Able to communicate with suppliers and internal teams professionally.
- Willing to do physical stock count.
- Able to follow instructions and complete tasks on time.
Added advantage:
- Certificate or Diploma in Business Admin, Accounting, Logistics, Supply Chain, or related field.
- Experience in F&B, retail, warehouse, accounts, purchasing, or operations support.
- Experience using inventory or purchasing systems.
Working Hours
Monday – Friday: 8:00 AM – 5:00 PM
Saturday: 8:00 AM – 1:00 PM
Sunday: Off day
