This role serves as a strategic administrative and operational partner to senior leadership, providing high-level coordination, business support, process management, and cross-functional collaboration. The ideal candidate will possess strong operational acumen, exceptional communication skills, and the ability to manage multiple priorities while driving efficiency and organisational effectiveness.


This position is responsible for supporting executive planning, operational reporting, CRM and database management, vendor and stakeholder coordination, marketing coordination, and internal process improvement initiatives. The successful candidate will thrive in a collaborative environment, demonstrate sound judgment and discretion, and take initiative in identifying opportunities to streamline workflows and improve business operations.

Experience

  • 5+ years of experience in executive administration, operations coordination, business support, or chief of staff-related roles
  • Experience supporting senior executives and leadership teams, including CEO and COO-level stakeholders
  • Proven experience coordinating business operations, strategic initiatives, and cross-functional projects
  • Experience managing complex calendars, meetings, scheduling logistics, and executive priorities
  • Experience preparing reports, presentations, meeting materials, and operational documentation
  • Hands-on experience using CRM platforms such as HubSpot for record management, reporting, and workflow tracking
  • Experience with agentic AI is a plus
  • Experience supporting sales operations, customer engagement processes, or business development activities
  • Experience managing vendors, external partners, and stakeholder communications
  • Experience maintaining databases, business records, and operational reporting systems
  • Experience supporting process improvement initiatives and implementing administrative efficiencies
  • Advanced experience with PowerBI, Microsoft Office Suite, Google Workspace, SharePoint, and collaboration tools
  • Experience coordinating events, campaigns, or internal business initiatives

  • Ability to create and maintain structured processes, workflows, and operational systems
  • Proficiency in data tracking, KPI monitoring, and operational reporting
  • Capability to adapt quickly within a fast-paced and evolving business environment
  • Strong technology proficiency and ability to learn new systems and platforms efficiently
  • Ability to prioritize competing demands while maintaining high-quality output and responsiveness
