The Head of Operations and Admin is a pivotal senior role at Stewardship Asia Centre (SAC), responsible for ensuring the seamless planning, coordination, and delivery of SAC's flagship events, executive education programmes, contracts management and overseeing internal administrative functions.

The incumbent will work closely with the COO and cross-functional teams to drive operational excellence, manage key stakeholder relationships, and contribute to the organisation's commercial and strategic outcomes.

This role demands a highly organised, commercially aware, and resilient leader who can manage multiple concurrent workstreams, from high-profile leadership summits to bespoke corporate education programmes, while simultaneously overseeing organisational governance, compliance, and process improvement.

KEY RESPONSIBILITIES

1. Events Management & Fulfilment

SAC's events are among its most visible outputs, attracting senior business leaders, policymakers, and practitioners from across Asia. The Head of Operations and Admin is responsible for the full lifecycle of these events, from early-stage concept planning through to post-event review, ensuring every touchpoint reflects SAC's positioning as a leading steward leadership institution.

  • Lead end-to-end planning, coordination, and execution of SAC's flagship events, including the Steward Leadership Summit, NextGen Steward Leaders Summit, investor engagement, and advocacy dinners and engagement events.
  • Develop detailed event runbooks, project timelines, and operational checklists for each event, ensuring all workstreams, from venue, catering, AV, registration, program flow, to post-event follow-up, are delivered to a high standard.
  • Manage the primary event management agency and all supporting vendors; conduct regular briefings, review deliverables, and hold partners accountable to agreed SLAs and budgets.
  • Oversee end-to-end budget management for each event: prepare cost estimates, track expenditure, identify cost-saving opportunities, and present post-event financial reconciliation to the COO.
  • Lead sponsorship and strategic partners management — identify prospective sponsors, develop sponsorship packages, negotiate and execute sponsorship agreements, and manage ongoing partner relationships before, during, and after events.
  • Coordinate with grant agencies and institutional collaborators (e.g. foundations, government bodies, corporate partners) where co-funding or co-branding is involved.
  • Own and continuously refine the stakeholder and invitation database; work with internal teams to segment, target, and communicate with the right audiences to meet participation targets.
  • Serve as the primary on-site event lead, overseeing event-day operations, managing contingencies, and ensuring a seamless participant and VIP experience.

2. Executive Education Programme Execution

Executive Education is a core commercial pillar of SAC, executing bespoke leadership and stewardship programmes for corporates, public institutions, and regional partners. The Head of Operations and Admin plays a central role in bringing these programmes to life, from initial scoping and contracting through to on-ground delivery and client debrief.

  • Oversee end-to-end fulfillment of all executive education activities, spanning open enrolment programmes, institutional partnerships and bespoke corporate engagements.
  • Develope and manage detailed programme delivery plans for each engagement, covering participant registration, pre-programme communications, venue and logistics setup, faculty coordination, materials preparation, and post-programme follow-up.
  • Coordinate speaker and faculty logistics, manage scheduling, travel, accommodation, and briefing materials for all faculty and guest speakers, ensuring they are well-prepared and supported throughout the programme.
  • Act as the primary client liaison during programme delivery, maintaining proactive communication with corporate clients to manage expectations, address issues promptly, and ensure the programme meets agreed objectives and quality standards.
  • Manage program costing and budget tracking: prepare cost proposals, oversee expenditure, ensure cost control, and report financial performance against revenue targets to the COO.
  • Support the Strategic Partnerships team in proposal development for new clients, providing input on operational feasibility, logistical requirements, and budgeting to strengthen bid submissions.
  • Oversee registration management systems and participant communications, ensuring a professional and frictionless experience from sign-up through to programme completion.
  • Maintain a programme calendar and capacity plan to ensure resources (venues, faculty, staff) are optimally deployed across the executive education portfolio.

3. Administration

  • Oversee and enhance organisation-wide administrative processes covering HR, Finance, IT, and General Admin functions.
  • Monitor and improve internal policies and workflows including claims, whistleblowing, travel, and net-zero campaign management.
  • Coordinate and facilitate SAC Board meetings, including preparation of board packs, minutes, and all related co-sec administrative work.
  • Review and manage business contracts with third-party vendors and service providers.
  • Execute additional tasks and special projects as assigned.

PROFESSIONAL QUALIFICATIONS AND SKILLS

  • Bachelor's degree in Business Administration, Operations Management, Event Management, or a related field.
  • Minimum 10 years of relevant experience in operations, events management, programme fulfilment, or a related field.
  • Demonstrated track record in managing large-scale events and multi-stakeholder environments.
  • Prior experience in executive education or professional training programme execution is highly preferred.

Skills & Competencies

  • Strong project management skills with the ability to manage multiple high-priority workstreams simultaneously.
  • Excellent commercial acumen, with experience in revenue-generating roles or cost management responsibilities.
  • Proficient in contract drafting, negotiation, and vendor management.
  • Strong written and verbal communication skills, with the ability to engage senior stakeholders and C-suite clients confidently.
  • High proficiency in administrative and productivity tools (MS Office Suite, CRM systems, event management platforms).
  • Ability to work independently with minimal supervision while maintaining strong cross-team collaboration.
